Gridsource Inc. LLC/ACC is looking for a part-time Office Assistant in Gulf Breeze, FL.
Job Summary
As an Office Assistant, you will play a crucial role in maintaining the efficiency of our office. Your responsibilities will include managing office supplies, handling mail and correspondence, assisting with document preparation, and supporting staff with clerical tasks. This position requires excellent organizational skills, the ability to multitask, and a strong work ethic. You will work closely with other staff members and report directly to the Office Manager.
Key Responsibilities
-Perform general office duties, including answering phones, managing email correspondence, and maintaining filing systems.
-Assist in preparing reports, presentations, and data, as well as managing documents and spreadsheets.
-Schedule and coordinate meetings, appointments, and travel arrangements for staff.
-Maintain inventory of office supplies and place orders when necessary.
-Provide support to visitors by greeting, welcoming, and directing them appropriately.
-Assist in the organization of office events and meetings.
-Handle sensitive information in a confidential manner.
-Contribute to team effort by accomplishing related tasks as needed.
Additional Requirements:
-Administrative Duties
-Picking up and processing mail.
-Manage asset management-related requests.
-Perform DMV, Post office, and UPS runs as needed.
-Take responsibility for ordering office supplies.
-Conduct scanning and filing of important documents.
-Answer and screen phone calls efficiently.
-Receive packages and ensure proper distribution.
-Coordinate travel arrangements and bookings for staff.
-Assist in the management and distribution of information among staff members.
-Ensure the efficient operation of the local office.
-Request documentation from subcontractors and vendors.
Qualifications
- High school diploma or equivalent; associate degree or higher preferred.
- Proven experience as an office assistant or in a similar administrative role.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- A positive attitude and willingness to take on various tasks to support the team.
