Position Overview:
The Topp Spine & Orthopaedics receptionist is the first point of contact for patients at our office. This role requires a professional, compassionate, and efficient individual who can manage front desk operations, schedule appointments, handle patient inquiries, and perform various administrative tasks to support our healthcare team.
Key Responsibilities:
- Front Desk Management:
- Greet and welcome patients and visitors warmly, ensuring they feel comfortable and attended to.
- Answer, screen, and forward incoming phone calls while providing basic information as needed.
- Maintain a clean, tidy, and presentable reception area.
- Patient Coordination:
- Register new patients and update existing patient information.
- Schedule, reschedule, and cancel patient appointments.
- Verify insurance information and process patient referrals.
- Administrative Support:
- Perform clerical duties such as filing, photocopying, scanning, and faxing.
- Manage patient records and ensure confidentiality and security of information.
- Handle incoming and outgoing mail and packages.
- Communication:
- Communicate with patients to remind them of appointments and manage follow-up calls.
- Liaise with medical staff to ensure smooth patient flow and timely care.
- Handle patient inquiries and complaints with empathy and professionalism.
- Customer Service:
- Address and resolve patient concerns or direct them to appropriate personnel.
- Provide general support to patients and visitors.
- Educate patients on office policies, procedures, and services.
Requirements:
- Education and Experience:
- High school diploma or equivalent.
- Previous experience as a medical receptionist or in a similar role preferred.
- Knowledge of medical terminology and healthcare operations is a plus.
- Proficiency in Microsoft Office Suite and healthcare software (e.g., electronic health records).

- Full-time position with standard office hours.
- Occasional requirements to work additional hours based on patient needs and office demands.
