Job Summary:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, be proficient in various software programs, and possess strong organizational abilities. As an Executive Administrative Assistant, you will provide high-level administrative support to executives and perform a variety of tasks to ensure the smooth operation of the office.
Responsibilities:
- Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects
- Coordinate travel arrangements and itineraries
- Assist with project coordination and follow-up on action items
- Handle confidential information with discretion
- Answer phone calls, take messages, and direct inquiries to the appropriate person
- Transcribe meeting minutes and distribute to participants
- Proofread documents for accuracy and grammar
- Assist with document management using tools such as Microsoft Office
- Provide general administrative support such as filing, scanning, and copying
Experience:
- Previous experience as an administrative assistant or executive assistant preferred
- Proficient in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and ability to maintain a high level of accuracy in work
- Ability to handle multiple projects simultaneously while meeting deadlines
- Experience with project coordination is a plus
