Join the dynamic events team as the Events Administration Coordinator. This position will focus on supporting government and industry liaison activities for selected events across the United States. The Events Administration Coordinator.will play a crucial role in supporting the planning, coordinating, and executing of successful events, fostering relationships with government and industry leaders, and contributing to the overall success of our conferences.
Overall Responsibilities
- Support the cultivation and maintenance of strong relationships with technology leaders in each jurisdiction participating in events, collaborating to enhance event programs.
- Activate Government Solution Center (GSC) contracts in Salesforce as needed for your team.
- Manage the event blog for the team to ensure blog posts are complete.
- Provide status updates on revenue targets and coordinate with the sales team as needed.
- Collaborate with the Registration team to ensure the process runs smoothly and help track registration targets.
- Occasionally travel to select events in support of the National Conference Directors.
Advisory Board Meetings Responsibilities
- Collaborate with the National Conference Director (NCD) to establish and manage Advisory Boards for each assigned event, comprising key stakeholders from government and industry.
- Research advisory board list members before NCD gets feedback from government contacts using Google and LinkedIn to verify members' current positions.
- Pull the registration list from the previous year and note anyone (Director-level, C-level, or equivalent) who could be added to the advisory board list for the current year.
- Assist with organizing Advisory Board meetings, ensuring alignment with event objectives and stakeholder interests.
- Schedule advisory board meetings, ensuring all details are collected and shared with logistics (ad board meeting date, time, location, shipping contact).
- Send Save the Date calendar appointments (from NCD email) to key contacts once the advisory board and event are confirmed.
- Initiate pre-advisory board prep packets with pertinent information for each NCD on the team prior to meetings.
Support National Conference Director Responsibilities
- Review and finalize event agendas, ensuring they align with event goals and resonate with attendees.
- Update the database of session titles/descriptions, ensuring everyone has access to historical data.
- Send the final program to the advisory board (from NCD's email) while using the NCD's speaker notes to invite specific board members to speak/moderate.
Event Speaker Responsibilities
- Work with the Sales team to deliver a high-quality event experience for sponsors and ensure their expectations are met.
- Use Navigator to research potential sponsor leads to send to sales.
- Assist with identifying, inviting, and confirming government speakers for event agendas, coordinating with logistics once speakers are confirmed.
- Research potential speakers via event registration lists, LinkedIn, and other sources to find subject matter experts to fill panels.
- Write speaker invitations to be sent out by the NCD.
- Post-event: compile survey result comments/scores so the NCD has them for the post-event thank yous/event reports.
- Provide status updates on internal deadlines and coordinate with the logistics team as needed.
Skills/Qualifications:
- Ability to multi-task and efficiently support multiple National Conference Directors.
- Excellent communications skills both verbal and written.
- Ability to set and make deadlines.
- Ability to support a meeting and help maintain control of the meeting participants to ensure a desirable result.
- Assist in securing meetings with high-level government executives.
- Assist in building and nurturing strong relationships with government technology leaders.
- Willingness to occasionally travel both in-state and out-of-state throughout the year.
- Ability to work as part of a collaborative team.
- Must be in a work environment with reliable Internet access.
