The Porsche Club of America (www.pca.org) is a club for Porsche owners. Through the National Office, our staff support 160,000 members and 148 regions (chapters) in a variety of ways: processing memberships, planning events, bringing support to driving, racing and educational programs, producing a monthly magazine, and connecting members to resources.
POSITION SUMMARY:
The Event Registration Coordinator is responsible for all aspects of registration for PCA’s national events including online registration systems, onsite check-in, member communications (individual and group), creation of name badges and materials, entering event data to websites, coordinating with volunteer leaders, reports, and training others. Will work on multiple national meetings, large-scale conferences, and events simultaneously. Attendance at events and frequent travel on weekdays and weekends is required.
Exceptional customer service and organizational skills, attention to detail, and a professional demeanor are required. The ideal candidate must thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm.
This dynamic position will work in a team environment to produce events, meetings and additional projects as required.
ROLES AND RESPONSIBILITIES:
- Manage the registration process for members, sponsors, vendors, employees, and other attendees
- Create, update, test and manage all registrations
- Provide superior customer service by phone and email for all national events. Respond to all phone and email messages for inquiries, complaints, changes, cancellations, etc.
- Create, test, and send out/automate emails for notifying attendees regarding confirmations, reminders, surveys, announcements and event information
- Provide data and reports on registration and attendance metrics including but not limited to registration trends, attendance, cancellations and other relevant data
- Ensure proper distribution of Attendee Lists
- Add event information, attendee lists, and registration links to internal dashboard
- Work with Finance on processing payments and refunds.
- Produce registration guide and/or virtual information (such as webinars) as needed
- Prepare and train Member Services team on registration opening dates, Q&A, deadlines, and how to assist members.
- Make sure all registration rates, dates, deadlines and other information are entered and up to date
- Research and recommend registration system options as needed.
- Maintain mutually beneficial relationships with existing vendors, sponsors and exhibitors and research new opportunities to provide more cost effective and creative services that meet organizational goals and standards
- Send and track correspondence with committee chairs and sponsors/exhibitors
- Coordinate collateral, i.e. Parade registration guidebook, handouts, etc.
- Serve as the onsite registration lead, training volunteers and providing excellent customer service to attendees
- Print and prepare name badges
- Attend site visits as necessary
- Other duties as assigned by the Executive Director
KNOWLEDGE, SKILLS, ABILITIES:
- Experience with registration systems, including mobile app integration for registration and check-ins
- Superior organizational and follow-through skills, performing work accurately with strong attention to detail
- Ability to meet deadlines and effectively prioritize a fast-paced and varied workload, effectively manage a variety of projects and concurrent/shifting priorities
- Excellent verbal and written communication skills
- Strong computer skills, including Microsoft Suite and registration software
- Strong customer service orientation and ability to develop rapport with a variety of personalities
MINIMUM QUALIFICATIONS
- Bachelor’s degree in Marketing, Event Planning or Communications or related area
- 5+ years professional meeting registration experience (nonprofit or association experience preferred)
- Experience with managing the registration for corporate events pre-event and on-site for events ranging in 200-4000 attendees or other high volume event planning preferred.
- Ability to prioritize and work independently or with minimal supervision
- Results oriented with demonstrated capability of meeting tight deadlines
- Demonstrated excellent problem-solving ability
- Ability to effectively communicate and work with cross-functional teams and vendors
- Up to date on current trends in the meetings industry
- Innovative and resourceful; actively seeks opportunities to improve meetings and events
- Exceptional customer service skills and enjoys working with the public
- Strong time management and organizational skills with the ability to manage concurrent tasks efficiently
