Patient Care Coordinator Job description

The Patient Care Coordinator is responsible for delivering a well-rounded patient experience. Exceptional organizational skills are required for success in this role, in addition to collaboration with the doctor. The major responsibility of the Patient Care Coordinator is the ability to be a detailed-oriented person, capable of multi-tasking while providing a pleasant, cheerful attitude towards our patients in our busy optometric practice and to drive profitable sales growth through the delivery of outstanding customer service.
Position Summary
- Meet customer satisfaction goals; effectively resolve customer concerns and complaints.
- Answer phones.
- Schedule patients.
- Verify all insurance benefits, medical and managed vision care.
- Scan documents and paper records into patient’s charts.
- Data entry.
- Open and prepare exam rooms.
- Shut down exam rooms at the end of day.
- Check patients in for appointments.
- Send recalls and referral letters or cards.
- Assist patients with insurance questions.
- Assist with EOB, researching why claims have not been paid.
- Create fee slips.
- Submit claims to clearing house.
- Bill out claims online and via mail.
- Send electronic correspondence to patients.
- Count cash box morning and evening.
- Administer diagnostic testing including but not limited to auto-refraction, NCT, visual fields, OCT, and retinal photos.
- Assist patients in the selection and ordering of eyewear, dispensing glasses, and contact lenses
- Teach insertion and removal for new contact lens patients.
- Adjust and repair eyewear.
- Ensure proper care and maintenance of all optometric equipment.
- Protect all Company assets, including inventory, cash, credit card drafts, bank deposits, and equipment.
- Follow proper procedures when accepting checks and credit cards. Manage daily bank deposit.
- Goal and solution oriented and able to self-manage complex tasks.
- Flexible and composed in a fast paced and ever-changing environment.
- Implementation and leadership of managed care coverage and medical insurance claims processing.
- Ensure adherence to all policies and procedures.
Required Qualifications
- Optical/Medical receptionist: 1 year(preferred), however, we are willing to train
- Optical office experience: 1 year(preferred), however, we are willing to train
- Developed communication skills, both verbal and written.
- Knowledge of optical industry lens, frame, insurance, and problem-solving principles.
- Strong track record of cross-functional collaboration.
- Hands-on experience with and EHR and POS transactions
- Solid communication and interpersonal skills
- A friendly and energetic personality with customer service focus
- Ability to perform under pressure and address complaints in a timely manner.
- Availability to work flexible shifts.
Preferred Qualifications
- 2 to 4 years of related work experience preferred; however, we are willing to train.
Education
- High School Graduate or equivalent required.
Physical Requirements
The tasks of this position generally require duties to be performed by:
- Use of close vision, color vision, depth perception and ability to adjust focus.
- Regularly stand/walk for the duration of shift.
- Occasionally required to sit, stoop, climb, or balance.
- Coordinated use of hands and fingers to grasp, feel objects, transfer small items from one hand to another, fine manipulation, and bilateral reach with arms.
Safety and Ergonomic Requirements
- Must always adhere to safe work practices and report any unsafe conditions immediately.
- Attend and participate in all required safety trainings.
- Follow all personal dress requirements according to the established dress code and safety requirements.
Job Type: Full-time
Pay: $14.00 - $17.00 per hour
