Vital Signs, LLC specializes in bridging the gap between the hearing, Deaf, Deaf-Blind, and hard-of-hearing by providing sign language interpreting and captioning services. We are looking for like-minded individuals who are motivated to contribute to it's mission, values, and initiatives.
We are looking to add an Operations Administrator to our team, the ideal candidate will be responsible for supporting the operations team with scheduling, communication, and various program efforts. The ideal candidate will work closely with the schedulers and the Director of Operations to help manage scheduling within all departments as needed and assist with day-to-day administrative functions. This position requires someone with strong organizational and problem-solving skills. The operations administrator will work closely in our Interpreter Intelligence (II) scheduling program.
Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following:
- Utilizing II auto offer and self-assign for most STT (Speech-to-Text) requests.
- Monitor and respond to shared email inboxes, performing actions as necessary
- Effectively communicate routine and critical staffing and scheduling challenges and demands to the scheduler and/or Director of Operations.
- Participating in the on-call rotation
- Providing II platform support to requestors and providers
- Creating and managing current client quote requests
- Performing scheduling tasks in II for STT and ASL Departments (sending notifications, following up on prep material, managing transcripts, managing google drive folders, communicating elections to providers and consumers, etc.)
- Support the team with various administrative tasks as needed
- Other administrative tasks for day-to-day operations
Minimum Qualifications (knowledge, skills, and abilities)
- Highschool diploma, or equivalent GED required
- Proficient computer skills
- Self-starter who needs minimum supervision
- Minimum two (2) years of customer service and or administrative experience
- Ability to problem-solve and follow through
- Ability to handle multiple tasks efficiently and timely
- Positive and constructive attitude
- Excellent customer service skills
- Reliable home internet
- Remote office setup is required
- Ability to function independently and demonstrate initiative
- Proficient with Microsoft office suite and google drive
- Time management and attention to detail
- Excellent written communication skills are a must
- Knowledge of/experience in the Deaf community is a plus but not required.
- Proven experience in administrative or clerical roles
