Role Description
This is a full-time on-site role as a Bilingual Front Desk & Administrative Specialist at dePaz Cabrera Immigration Law located in Gainesville, FL. As our Bilingual Front Desk & Administrative Specialist, you will serve as the primary initial contact and face of our firm for all prospective and existing clients to our office. You are responsible for fostering meaningful client experiences, providing exceptional customer service to clients, greeting visitors to our firm and coordinating all front-desk activities including answering phone calls, relaying messages, scheduling appointments, processing all incoming and outgoing mail, managing the firm calendar and setting calendar reminders, filing case documents, and, related front desk administrative tasks. This is a critical role, as providing a compassionate and helping hand to both prospective clients and existing clients establishes a positive first impression and fosters lasting relationships. To be successful as our Bilingual Front Desk & Administrative Specialist, you must have a pleasant and outgoing personality, must empathetic, be able to prioritize well, and have strong time management skills while streamlining office operations. Multitasking and having a stable sense of urgency are essential skills for this position as you will also play a crucial role in maintaining the office's organization and efficiency.

Our Bilingual Front Desk & Administrative Specialist must possess extraordinary customer service skills, fantastic organizational skills and the ability to work in a fast-paced environment.
- Excellent Customer Service Skills
- Bilingual English and Spanish - the position requires you to in both English and Spanish so proficiency in both languages is imperative - spoken, written and reading.
- Have a passion for serving others and protecting and assisting immigrants.
- Be proficient and comfortable talking to people on the phone in both English and Spanish as there is a large volume of incoming and outgoing calls (Call Center/Inside Sales Experience is a PLUS)
- Be VERY detail oriented, courteous, compassionate, and punctual.
- Be able to prioritize duties, work well under pressure and manage time while maintaining a calm composure.
- Be a team player who values collaboration and the success of the firm and the Clients we serve.
- Be empathetic with a positive attitude and sense of humor.
- Be able to ask for help when needed.
- Possess excellent typing and written communication skills (English and Spanish)
- Proficiency using Microsoft Office 365 (experience with Apple products a plus)
- Have high ethical standards: Takes responsibility and is accountable.
- Reliable transportation and driver’s license

Core Job Responsibilities
- Answer, screen and forward incoming phones or relay detailed messages
- Scheduling meetings
- Greeting Clients
- Calendar management for appointments and deadlines
- Following up with prospective Clients
- Providing basic and accurate information in-person and via phone/email
- Processing Incoming / Outgoing Mail
- File Setup and Filing including new case set up and closing cases
- Data entry into client management software
- Processing client payments, setting up new invoices, following up on bills and payment plans
- Maintaining lobby and front desk area clear of clutter, tidy
- Other tasks as assigned by Attorney.
- Assist with the following firm-wide duties, as needed such as translating documents and office upkeep such as trash/dishes/miscellaneous tidiness.
Job Type: Full-time
Pay: From $13.00 per hour
