We are a fast-growing alternative medicine company looking for a talented and creative Executive Assistant to join our team. The successful candidate will play a crucial role in ensuring the smooth functioning of our organization by handling various administrative tasks and assisting with day-to-day operations. The ideal candidate will have excellent communication skills, exceptional attention to detail, and the ability to multitask effectively in a fast-paced environment.
Responsibilities:
- Manage and maintain executive schedules, including arranging appointments, meetings, and travel arrangements
- Ensuring the overall operations and effectiveness of the CEO by acting as the first point of contact and functions as a “gatekeeper” to the CEO.
- Coordinate and organize meetings, conferences, and corporate events
- Prepare agendas, presentations, and other meeting materials
- Take accurate meeting minutes and distribute them to participants
- Handle confidential and sensitive information with utmost discretion
- Prepare and review reports and other documents
- Maintain communication between Sales Marketing and Operations
- Assist with project management tasks and follow up on action items
- Collaborate with other administrative staff to ensure efficient office operations
- Managing a variety of special projects and research for the CEO
- Prioritizing conflicting needs, handling matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures.
- Researching, prioritizing, and following up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determining appropriate course of action, referral, or response.
Requirements:
- Proven experience as an executive assistant or similar role
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficient in Google Workspace, Asana and Zoho a plus
- Ability to maintain confidentiality and handle sensitive information
- Attention to detail and accuracy in work
- Strong problem-solving and decision-making abilities
- Ability to work independently and prioritize tasks effectively
- Bachelor's degree in business administration or related field (preferred)
- Ability to work in a high stress environment
