SUMMARY
The Receptionist is responsible, on a daily basis for ensuring the efficient operation of the office and administrative functions, by providing general front desk coverage through answering the telephone and greeting clients and visitors. The Receptionist provides back-up support for the Office Administrator,
as well as providing administrative support to all staff and programs. In addition, performs duties such as recordkeeping, data entry and filing of confidential records, and updating client information in database. Maintain highly confidential and sensitive information.
PRIMARY DUTIES AND RESPONSIBILITIES
· Greeting clients and visitors
· Answering the telephone and forwarding calls to program staff
· Collection of client co-payments
· Assist in maintaining office efficiency
· Copy, file, scan and maintain paper or electronic documents and records
· Assist Office Administrator with scheduling appointments
· Provide back-up of administrative functions when the Office Administrator is not available.
GENERAL DUTIES
· Answer telephone & forward to appropriate personnel
· Filing confidential documents
· Greet clients and visitors
· Collect client co-payments
· Sort and distribute incoming mail
· Performs general administrative duties
· Complete other clerical duties as assigned
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities
EDUCATION and/or EXPERIENCE
· High School diploma
· Ability to communicate accurately and clearly both orally and in writing
· Proficiency in use of computers, printers, fax machines and electronic medical records
· Good customer service skills and the ability to interact with clients, families, staff, management, as well as the general public
LANGUAGE SKILLS
Excellent reading skills are required to produce routine reports and correspondence.
MATHEMATICAL SKILLS
Basic math skills of addition, subtraction, multiplication and division are required.
