The Administrative Assistant provides administrative support to our Customer Satisfaction Department.
JOB RESPONSIBILITIES:
- Answers high-volume calls on a multi-line phone system; screens and directs customers to appropriate team members; ensures phones are covered at all times.
- Effectively manages CSC support inbox; screens inquiries and directs to appropriate technicians in a timely manner.
- Coordinates FMLive kick-off calls and upgrades with customers.
- Maintains documentation within our CRM database with accurate and up-to-date information relevant to Customer Support.
- Manages routine call center reports; generates reports, as required.
- Records credit card merchant information and initialization checklists.
- Creates orders to properly invoice customers for billable technical support time.
- Notifies management when a customer is discontent.
- Reviews after-hours call reports from answering service and assigns open tasks to appropriate team member.
- Verifies customer calls are handled according to established guidelines and goals.
- Creates service orders, part orders, and purchase requisitions; emails shipment tracking information to customers.
- Creates and edits documents, reports, and presentations using Word, PowerPoint, Prezi, and Excel.
- Manages department calendar and assists with special events (luncheons, celebrations, annual awards dinner, etc.).
- Provides general office support within the department; orders supplies; distributes mail.
- Coordinates travel arrangements, as needed.
- Provides recommendations to improve customer support and administrative activities.
- Performs other duties, as assigned.
JOB REQUIREMENTS:
- Associates degree from an accredited college or university; will consider relevant years’ experience in lieu of degree.
- Minimum of 3 years’ experience with a solid history of positive customer interaction.
- Demonstrates effective communication abilities with writing, speaking, and listening.
- Solid organizational and time management skills are critical to this position.
- Reliable, courteous, and professional at all times; the ability to work well with others is vital.
- Detail oriented with meticulous focus on accuracy.
- Proficient with MS Office.
