The
Project Coordinator provides project administration support in the areas of document control, coordination, communication, and distribution of project specific information, authorizations, documentation and statuses. Maintains current administration functions to manage and ensure adherence to all pertinent financials, statuses, and documentation.
Essential Duties:
- Functional knowledge of construction contracts, documentation procedures, administration support activities to ensure performance to project requirements.
- Prepare and track all contracts, subcontracts, change orders, insurance certificates, permits, and other documents pertinent to the projects using information provided by the Project Managers
- Obtain and maintain data, information, communications, and approvals required by project and company requirements between owner, architects, engineers, contractors/subcontractors, or other project related entities.
- Maintain project logs and tracking of relevant data and information for use by project staff and necessary entities.
- Participate in meeting preparation, support and follow up documentation.
- Participate in new project handoff meetings to understand administrative requirements
- Prepare, provide support, and publish reports, metrics, detailed information documents and communications for project staff and project leadership.
- Ensure project information and documents are logged for costs, guarantees/ warranties, and related provisions for project leadership and handover to owner entities.
- Importing/Setting up budgets in PM software
- Obtain all pertinent drawings, warranties, materials, and paperwork from subcontractors and suppliers for the project closeout and assembly of warranty book
- Assist with other Project Management administrative tasks as needed
- Assist with the process to receive and maintain licenses, permits, registrations, etc
- Assist Project Manager with scheduling purchase orders, material deliveries, utility setups, and ordering of equipment
- Assist in asset inventory management
- Provide overall support to and perform other administrative tasks assigned by Project Manager
- The Project Coordinator will support multiple Project Managers, Superintendents, and Company Leadership.
