We are seeking a highly organized and detail-oriented individual to join our team as a Project Coordinator / Administrative Assistant. This role is crucial in supporting our operations by managing administrative tasks, coordinating projects, and ensuring smooth communication with both internal teams and external stakeholders.
Key Responsibilities:
- Administrative Support:
- Manage office operations and provide administrative support to the team.
- Maintain accurate records and documentation.
- Assist in preparing reports, presentations, and correspondence.
- Project Coordination:
- Coordinate project logistics, including scheduling, resource management, and documentation.
- Assist lead estimators in the preparation and submission of bids and proposals.
- Attend bid openings and mandatory project meetings as required.
- Financial Management:
- Handle accounts payable and accounts receivable processes.
- Utilize QuickBooks for financial transactions and reporting.
- Ensure accuracy in billing and invoicing processes.
- Communication and Coordination:
- Liaise with clients, vendors, and government agencies as necessary.
- Maintain communication channels between internal teams and external parties.
- Handle inquiries and provide information to stakeholders professionally and promptly.
- Organizational Skills:
- Organize and prioritize tasks effectively to meet deadlines.
- Maintain filing systems and databases accurately.
- Call in locates and manage project-related logistics.
Qualifications:
- Excellent computer skills with proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with Foundation software (preferred).
- Strong attention to detail and accuracy in work.
- Ability to work efficiently under pressure and meet deadlines.
- Excellent communication skills, both verbal and written.
- Experience working with the public and/or government agencies is advantageous.
- Proactive and able to work both independently and as part of a team.
