CUSTOMER SERVICE EXPECTATION:
Every employee action performed as part of this job impacts customer satisfaction, and this has a direct impact on the success of Pet Alliance. Providing excellent customer service to both internal and external customers is considered a critical element in measuring employee performance.
FUNCTION:
The primary responsibility of the Customer Service Representative is to interact positively and professionally with Pet Alliance customers by addressing incoming phone calls. Our Customer Service Representatives provide information on our programs, services, availability of animals, procedures for adopting and surrendering animals, and makes appointments for both the clinic and shelter with the highest degree of courtesy and professionalism.
The Customer Service Representative works in collaboration with all departments at Pet Alliance. Must be able to multi-task and work in a fast-paced environment.
RESPONSIBILITIES:

Interact with existing and potential customers via telephone, email, online chat, or in person to provide support and information.

Field a high volume of incoming phone calls

Identify and assess customers’ needs to achieve high levels of satisfaction

Maintain current knowledge of organization services and policies to advise and respond correctly to complex customer inquiries
-
Verify and accurately enter, update and maintain electronic customer and animal records
-
Schedule appointments for our shelters and clinics
-
Respond to chat inquiries from clients using messaging services
-
Maintain high level of customer service while responding to both phone calls and chat messages simultaneously
-
Handle customer complaints promptly, provide appropriate solutions and alternatives within guidelines, and follow up to ensure resolution

Collaborate with other departments to ensure consistent messaging and alignment with the organization’s goals

Follow communication procedures, guidelines, and policies

Attend staff meetings and training as required
-
Perform other duties as assigned to meet the needs of the organization
Requirements:
QUALIFICATIONS:
-
High School diploma or equivalent
-
A minimum of 6 months of high volume customer service experience required
-
Must have strong customer service skills including handling conflict, uncertain situations, controlling a phone conversation, and de-escalation techniques

Must have excellent verbal, written and interpersonal communication skills
-
Must have a strong working knowledge of computers and computer navigation skills with the ability to learn new software
-
Must be able to work in a fast-paced environment with the ability to multi-task, prioritize, and manage time effectively
-
Knowledge of animal services and animal related programs preferred
-
Bilingual is preferred

PHYSICAL AND MENTAL DEMANDS:

The physical demands of the job require sitting for extended periods of time; regularly using the computer; extended use of the telephone; regularly responding to customers’ questions.

The mental demands of the job include regulating emotions while interacting with customers, including often under extreme pressures, having to deal with complex problems, and sometimes rude or argumentative customers.
WORKING CONDITIONS:

Work is to be performed in the medical, shelter, and lobby area of the Pet Alliance. It is an open and well-lighted, adequately ventilated, but somewhat noisy environment.

The job requires moving between rooms and buildings that may result in increased exposure to extremes in temperature.

Job requires frequent and routinely intense public contact as well as the ability to multi-task under conditions that can be described as extremely fast-paced and sometimes potentially stressful.
