San Francisco HVAC Contractor specializing in public works projects seeking a highly motivated, organized, and detailed oriented Office Manager/Bookkeeper with a track record of accurately and efficiently supporting overall accounting activities while being a leader in the office.
REQUIREMENTS (include but are not limited to the following):
•Outstanding communication skills: You will be collaborating with co-workers, management, direct reports and in some cases customers and vendors.
•A team player with leadership abilities.•Solid organizational skills including attention to detail and time management.
•Strong working knowledge of Microsoft Office. (Outlook/Word/Excel)
•Critical Thinking and Problem-Solving Skills.
•Self-Driven, with the ability to operate with minimal supervision.
Specific Accounting Tasks:
•Proficient in Foundation or Sage financial software (preferred)
•Manage general ledger, financial reporting, revenue, accounts payable and accounts receivable
•Manage & process weekly payroll including CPR and monthly union fringe benefit reporting
•Manage all financial audits, Workers Comp, Certified Payroll, Insurance, etc. as needed
•Drive all financial activities related to timely closure of the books, monthly quarterly, and annually
•Perform and review monthly close and prepare historical financial statements
•Ensures timeliness and accuracy of accounts payable/accounts receivable and invoice processing.
•Establishes and enforces proper accounting methods, policies and principles
Specific Administrative Tasks:
•Oversee and maintain day-to-day office operations, implement systems, processes, and policies to support overall harmony, productivity and effectiveness
•General office management including, management of office budget, ordering supplies, etc.
•Maintenance of third-party admin companies, IT, Insurance, Janitorial, etc.
•Provide support for meetings
•Maintain company contacts and calendars, schedule/confirm meeting dates, etc.
•Other related duties as assigned
Additional Requirements
•3+ years related experience,
•Proficient in Foundation or Sage financial software (preferred)
•Proficient in Union Payroll and Fringe management (preferred)
•Job costing principles (a must)•Experience with Union Labor & Public Works (preferred)
