As part of our team at Face Austin, this role will be responsible for ensuring that the moment a patient calls or walks in our office that they are greeted with a five-star, luxury experience. You will be greeting patients upon arrival at the office and coordinating their visit with appropriate staff members in an efficient and pleasant manner. Schedule follow-up appointments and provides effective communication with patients via email and phone. Within our team, you will be working to improve the team workflow between coordinators, nurses, and Dr. Antunes.
The person best suited for this role must work well in a fast-paced environment and managed multiple tasks throughout the day. You will be assisting in standardizing processes for the role and helping the practice grow.
RESPONSIBILITIES:
1. Office Triage: Greets each patient warmly upon arrival, anticipate and determines needs, and ensures efficient transfer of care to other staff members as appropriate.
2. Confirmation of Patient Information: Confirms with each patient upon each visit that patient information on file with the practice is accurate and up-to-date. Accurately records updates and corrections as needed.
3. Monitoring of Reception Area: Regularly checks patients in the waiting room to ensure each is comfortable. Reassures those patients subject to longer-than-expected waits and informs clinical staff of status as needed. Ensures furnishings and magazines are orderly and clean. Checks that departing patients appear able to travel safely from the office.
4. Telephone Calls: Serves as secondary individual responsible for answering telephone calls to the practice. Greets each patient warmly, listens carefully, then directs the call appropriately.
5. Clerical Duties: Provides assistance in medical chart preparation and maintenance, scheduling, data entry, and other tasks as required.
6. Other Duties:
· Performs other duties and assumes various responsibilities as determined by the supervisor.
· Greets patients and visitors in a prompt and helpful manner; provides instructions/directions as needed.
· Provides necessary release and HIPAA forms to patient for completion and signature.
· Monitors schedule and organizes patient flow for office appointments.
· Maintains clean and orderly waiting area, coordinates patient movement.
· Answers text messages, emails, and voicemails and returns patient calls in a timely and efficient manner.
· Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information.
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
