Position: Administrative Assistant
Department: Enterprise Project Management Office
Location: Topeka, KS - Onsite
Overview:
We are looking for a highly organized and detail-oriented individual to support our Enterprise Project Management Office. As an Administrative Assistant, you will be responsible for a variety of tasks including scheduling, coordinating meetings, report preparation and handling correspondence. The ideal candidate will possess excellent communication skills, proficiency in office software, and the ability to multitask effectively.
What you’ll do:
- Answer calls and direct them accordingly
- Communicate with vendors
- Organize and arrange meetings; manage schedule, conference room set up, catering
- Plan and coordinator departmental meetings and events
- Assist in the completion of month end reporting and distribute to stakeholders
- Audit project time logs regularly
- Order and manage office supplies
- Arrange travel for department needs
- Take notes at various meetings as needed
Experience you’ll bring:
- Excellent communication skills; ability to build rapport with all personality types
- Strong experience working with MS Word, Excel, Outlook, PowerPoint and the ability to learn other systems as needed
- Strong organizational skills; ability to manage projects while navigating a variety of competing priorities in a fast-paced environment
- Ability to work independently, but also as a collaborative team member
- Detail oriented, motivated, dependable and quality oriented
