The Receptionist is responsible for operating a multi-phone and paging system. This individual will answer all incoming calls, redirect them as needed, and provide exceptional customer service to all visitors. Will welcome all on-site family members and visitors including vendors, clients and potential job candidates.

Key Objectives and Responsibilities:
- Welcomes all on-site family members and visitors including vendors, clients and job candidates, determines nature of business and announces visitors to appropriate personnel
- Updates Census Log and Family Communication Portal, as needed
- Order office supplies in accordance with procedures and budget allocations
- Coordinates outgoing and incoming mail to the community
- Performs, typing, data entry, word processing, filing, copying and general office requests
- Assists with mailings, activity prep and scheduling of events
- Schedules tours and appointments for the Administrator, as needed
- Takes inquiry calls for potential residents, as needed
- Manages and re-order meal tickets, as needed
- Manages the upkeep and oversight of office equipment such as CCTV, postage, main copier, etc.
- Manages new staff key card and ID cards, in conjunction with the family tree photos
- Manages auditorium binder for scheduled activities/events and maintains computer and accessories
- Handles a variety of assignments, some of moderate complexity, requiring considerable familiarity with the operating details of the community.
- Assist with compiling reports such as; community census, incident report log, inquiry log, etc.
- Assists in ensuring the safety of all community customers being familiar with his/her role in caring out the site’s fire, safety and disaster plans
- Perform any other administrative or support tasks that may be requested by the Administrator and or the Executive Director.

- Ability to communicate effectively both verbally and in writing
- Must be capable to work independently and in collaboration with others
- Must know how to operate a multi-line phone, paging system, standard office equipment, fax, computer, copier, etc.
- Proficient in Microsoft office Suite
- Comply with HIPPA Privacy Rule
- Experience in multi-tasking office procedures and basic medical terminology
- Must be able to maintain confidentiality at all times in communications with staff and others
- Must be able to positively interact with personnel, residents, family members, visitors, government agencies/personnel and the general public
- Must have well developed verbal and written communication skills
Education/Experience:
- Minimum of two years of experience in administrative role
- Supervisory experience preferred
- Must be computer savvy and proficient in Microsoft Excel, Word, Power Point and Outlook
- Criminal background check/drug screening
- Meets all health requirements imposed by law
- Ability to lift/assist residents, physical activity such as walking, kneeling and bending for up to 75% of the time
