Position Overview: We are seeking a dynamic and organized Administrative Assistant to provide high-level administrative support to our executive team. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to manage multiple tasks efficiently. Office Coordinator Expectations
- As our office admin you will play a vital role in maintaining the smooth operation of our office environment. After training, we will rely on you to help run things administratively, so that leadership can focus on growing the business.
- Maintain front-facing relationships with customers, contractors, service providers, and vendors
- Submitting roof supplements
- Keep documentation organized and CRM update-to-date ( AccuLunx)
- Collaborate with departments by preparing AP/AR reports, following up and facilitating payment of invoices due by sending bill reminders and contacting clients or informing departments.
- Review & process weekly employee commission & incentive payments, ensuring all commissions are accounted for and properly posted in company CRM and Accounting software.
- Ensure smooth flow of customers’ financing arrangements with third party financing companies, when applicable.
- Perform other general accounting functions as assigned, such as posting transactions into the accounting software.
- Maintain regular communication with clients throughout the sales process, addressing questions, providing updates, and ensuring a positive customer experience.
- Input data into estimating software or spreadsheets to generate preliminary cost estimates and project proposals.
- Collaborate with the sales team to follow up on leads, schedule appointments, and conduct initial client meetings or site visits.
- Provide administrative support, including preparing documents, responding to inquiries, and maintaining accurate records of project communications.

Job Type: Full-time
Pay: $16.00 - $20.64 per hour
