Job Summary:
As the Executive Assistant (and Executive Communications & Compliance Administrator), you will primarily support the Chief Executive Officer, handling critical administrative tasks and ensuring the smooth operation of various high-level projects. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to maintain strict schedules and standards.
Key Responsibilities:
Communication Management: Monitor and manage the CEO's communications, including emails, texts, and calls, and handle them according to their relevance and importance.
Schedule Management: Oversee the CEO’s calendar, ensuring deadlines are met, meetings start and end on time, and travel is coordinated efficiently.
Workflow and Office Operations: Maintain order and efficiency in the CEO's workflows and office operations.
Administrative Tasks: Handle administrative tasks such as filing, data entry, and document management.
Document Preparation: Assist in preparing executive reports, presentations, and other documents as directed by the CEO.
Coordination and Troubleshooting: Coordinate with the CEO’s direct reports and assist with troubleshooting when needed, sometimes when the CEO is unavailable.
Compliance and Audit: Process and audit legal and regulatory paperwork with precision. Perform quality and process audits to ensure compliance with SOPs.
HR Tasks: In many cases, a company offering staffing services is an extension of their's clients HR department. Accordingly, this role will manage detailed HR-related tasks in volume, ensuring accuracy and compliance from all parties.
Qualifications:
Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
Proven experience in executive support required.
Proven experience with compliance or HR-related tasks required.
Excellent communication skills in both written and verbal English required.
Excellent communication skills in both written and verbal Spanish highly preferred.
Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other software systems.
Skills and Competencies:

Strong problem-solving skills and ability to manage multiple priorities.
Ability to maintain discretion and confidentiality.
Proactive and resourceful with a strong sense of initiative.
Work Environment:
Full-time, in-office position with occasional urgent matters outside regular business hours.
Some travel required, estimated at ~10 days per year.
