TSHA seeks a well-qualified, hardworking, and dedicated Bookkeeper & Administrative Specialist to join the team.
What We Are Looking For:
We are seeking a dynamic and experienced Bookkeeper & Administrative Specialist to join our team. Reporting directly to the Executive Director, the Bookkeeper & Administrative Specialist will play a role in assisting the Finance Project Manager with bookkeeping duties, such as in processing Accounts Payable, Accounts Receivable as well as provide administrative support to the agency and its programs. The successful candidate will be responsible for carrying out the necessary general administrative functions of the office, including but not limited to ordering supplies, filing, proofreading, board packet preparation, scheduling staff training etc.
In this role, you will be responsible for but not limited to:
· Perform Accounts Payable procedures biweekly to ensure timely payment to all vendors.
· Assist the Finance Project Manager in coordinating the collection and accuracy of staff timesheets on a bi-weekly basis. Assist the Finance Project Manager with the accurate record keeping of financial statements and reports electronically.
· Assist the Finance Project Manager during annual auditing to ensure a smooth and responsive annual audit process.
· Assist in clerical tasks related to accounting procedures
· Serve as the administrative lead supporting the ED and Finance Project Manager in preparing Board of Commissioner packets ahead of scheduled meetings.
· Assists in daily operations of the office, performing routine office tasks with attention to detail, necessary for the operation and presentation of a professional office.
· Document retention
· IT Liaison between staff and third-party IT service vendor
· Agency staff event and professional development planning and coordination
· Scheduling travel arrangements, training registration
· Daily mailing and FedEx delivery coordination
· Performs other related duties and projects as assigned.
What You Need:
· Associate Degree from an accredited school preferably in accounting, finance, administration or a related field required. Preference will be given to candidates with a Bachelor’s Degree
· Strong understanding of Accounts Payable processes
· Proficient in financial software to support accounting functions
· Ability to communicate clearly and concisely both orally and written, in a professional and courteous manner.
· Maintains accurate up-to-date records of the agency’s files as assigned.
· Fluency in Microsoft Office package and online accounting data management systems required.
· 3-4 years of experience in affordable housing bookkeeping preferred
· Preference will be given to candidates with experience in accounting positions within housing authorities or nonprofit agencies
· An equivalent combination of education and experience will be considered.
Other Requirements:
· Possession of a valid Florida Class “E” Driver’s License
· Must be insurable by TSHA's fleet/auto insurance carrier.
Physical Requirements:
Work is principally sedentary, but may involve some physical exertion during on-site visits with residents or landlords, inspection of dwellings or facilities, and travel to meetings, conferences or workshops in other cities. Work involves the normal risks and discomforts associated with an office environment. Although it is usually in an area that is adequately cooled, heated, lighted, and ventilated.
