ABOUT THIS JOB:
We are an investment advisory firm providing a comprehensive and flexible array of investment solutions to high-net-worth individuals and family offices. We are currently seeking a Client Service Associate candidate based in our Miami office. The candidate will work closely with the advisors to provide best in class service to our clients. He/she will be responsible for handling all aspects of our client new account and onboarding experience, processing daily disbursement requests, and handling day-to-day account maintenance and service requests and special projects, as needed. The candidate should demonstrate a strong knowledge of industry standards and practices. The candidate must be able to work independently, in a fast-paced environment while collaborating with other team members to resolve various issues with potentially broader business impact.

RESPONSIBILITIES AND DUTIES

Serve as the first point of contact to proactively manage and deliver the client experience and our firm's scope of services.

Support Senior Advisors in solving complex client inquiries.

Work closely with the reporting team to generate reports, analyses, and solutions. May participate in client meetings to present reports.

Responsible for the processing and integrity of account opening documentation and follows up to ensure timeliness of account setup.

Oversee and support with post-client-meeting follow ups, including assisting with onboarding documentation and client intake process.

Liaise with clients' and firm's network of business professionals, including accountants, attorneys and other specialized advisors and service partners, as needed.

Support Senior Advisors with coordinating and processing new private fund subscriptions.

Maintain up-to-date client data in the contact management system (CRM) for purposes of reporting, scheduling, tracking, and marketing. Meets various performance and productivity objectives using the firm's CRM platform.

Create and maintain client files, prepare client forms and reports, and assist with client correspondence as requested by the firm's Advisors.

Work closely with Advisors in preparing marketing materials and personalized investment proposals and reports.

Leverage expert business, industry, and operational knowledge in addition to frequent client interaction to identify value added client solutions.

Ensure legal, regulatory, and operational control requirements are maintained and followed across their assigned diverse complex client base on an ongoing basis.

Demonstrate leadership on tasks to achieve our firm's goal of excelling in client service

Help to identify the source/cause of significant customer issues so that they can be eliminated.

Perform research and follow-up as needed on problems related to disbursement transactions, service activities, and statement errors.

Ensure key client information and documentation is up to date

Participates in various group projects and continuous improvement activities
QUALIFICATIONS & SKILLS:

A four-year degree from a regionally accredited institution (i.e. Bachelor of Science) preferred.

2-3 years' experience in the financial industry preferred.

Tech savvy, with the proficiency to quickly learn new technology tools, platforms, and software - with proficiency in Excel, Word, PowerPoint
