We currently are looking to add an Executive Assistant to our dynamic team! Essential Job Duties:
- Provide Calendar management and prioritize conflicting needs for the Executive Team.
- Act as a liaison between the Executive Team and the Board of Directors.
- Complete a broad variety of administrative tasks that facilitates the Executive Team’s ability to effectively lead the organization, including but not limited to: document and presentation design and review, collecting a preparing information for meetings, preparing and reviewing correspondence, maintaining contact lists, completing expense reports, and assisting with travel arrangements.
- Work closely with the Executive Team to keep them well informed of upcoming commitments and anticipate needs in advance.
- Coordinate all Executive Team meetings and assist with staff meetings as needed; attend meetings and report back to Executive Team if not present.
- Be able to effectively track and manage action items for the Executive.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Strategically manage the Executive Team’s time with respect to priorities, goals, and objectives.
- Assist Marketing Manager with creating property flyers and arranging marketing meetings.
- Distribute leasing banners to Property Managers and Leasing team.
- Order tradeshow promotional items and assist with assembling all items for International Council of Shopping Centers (ICSC) events, in addition to attending and assisting with all foot traffic.
- Manage ICSC hotel accommodations throughout the year.
- Manage all company marketing materials and distribute to all employees (i.e., pens, notebooks, vests, branded laptop bags, etc.).
- Support Board of Directors with all travel accommodations, scheduling, and expense reimbursement.
- Prepare and distribute quarterly board packages and presentations to Board of Directors and Corporate Secretary.
- Run quarterly Property Inspections reports, review, and supply to CEO.
- Approve all deals in Datex on behalf of CEO.
- Coordinate quarterly companywide meetings for all employees.
- Organize, scan, and distribute all signed documents on behalf of EO and Chief Financial Officer.
- Scan checks for accounting as necessary.
- Organize, Budget, and oversee annual Holiday Party.
- Gather all items for Management meeting & Management Accounting meeting agendas.
- Run errands for executive team as necessary.
- Perform administration duties such as filing, scanning, faxing, etc.
- Create, package, and send all Tenant Welcome Letters on behalf of Marketing Manager.
- Complete special projects as needed.
Experience, Requirements, and Core Competencies:
- Advanced level of proficiency in Microsoft Office Suite, or similar

Qualifications and Education Requirements:
- Bachelors degree or equivalent work experience in a related field.
- A minimum of 4 years of experience in supporting executive staff.

Pay: $45,000.00 - $55,000.00 per year
