Job Summary:
The Medical Clinic Scheduler is crucial in managing the clinic's workflow, working directly with clinicians to update billing sheets, clinic schedules, and work to compliance with healthcare protocols. This position will report to the Vice President of Operations.
Responsibilities:
- Updating billing sheets or clinic schedules as necessary
- Utilize electronic health records and MS Word to manage and update the Provider’s caseload details and billing sheets.
- Manage incoming phone calls and messages, ensuring timely and accurate communication.
- Communicate effectively with clinicians to confirm daily schedules and patient records.
- Coordinate with clinicians to schedule patient appointments based on recommended follow-ups.
- Oversee compliance aspects, including verification of progress notes submission and clinician signoffs.
- Collaborate with the medical records team for timely entry of progress notes.
- Liaise between referring sources and clinicians to ensure patients are scheduled with appropriate providers.

Qualifications:
- High school diploma or equivalent; further education in medical administration or related field preferred.
- Experience in a medical office or scheduling role.
- Proficient in using electronic health records and office applications.
- Excellent communication and organizational skills.
- Ability to work both independently and collaboratively in a hybrid work environment.
- Strong decision-making, problem-solving abilities and adaptability to rapidly changing healthcare environments.
- High attention to detail and precision.
Typical Physical Demands:
Position requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, computer, and other office equipment is also required. Must have a normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.
