We are seeking a detail-oriented Human Resource/Administrative Assistant to join our team. The Human Resource/Administrative Assistant will perform human resource services and administrative support for Wisconsin River Orthopaedics and the Surgery Center of Wisconsin Rapids.
Duties/Responsibilities:
· Maintains accurate and up-to-date human resource files, records, and documentation.
· Performs routine functions of the human resource department including recruiting, interviewing, hiring, administering pay, benefits, and leave, and enforcing company policies and procedures.
· Assists with the new hire process e.g. facilitation of phone screening of potential new hires, reference and employment verifications, onboarding of new employees and doctors, new hire paperwork.
· Maintains PTO balances and schedules.
· Creates learning and development programs and initiatives that provide internal development opportunities for employees. Is involved in employee satisfaction committee.
· Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
· Reconciles benefits statements.
· Creates and maintains physician on-call schedules.
· Assists with updating and maintaining company policies, procedures, and handbook.
· Provides clerical and administrative support tasks.
· Responds to and resolves administrative inquiries, questions, and delegated tasks.
· Prepares agendas, schedules meetings, and completes meeting minutes.
· Maintains office supplies and coordinates maintenance of office equipment.
· Records and processes refunds, deposits, expenses, and all journal entries into QuickBooks.
· Enters and pays invoices for WRO, SCWR, and COST.
· Reconciles bank statements.
· Assists with month-end and year-end processes in coordination with Administrator and accountants.
· Performs payroll functions including processing timecards, answering employee questions, fixing processing errors, distributing checks, tax payments, HSA deposits and 401K.
· Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
· Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
· Retrieves, sorts, and distributes mail daily.
· Performs other duties as assigned.
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
· Excellent organizational skills and attention to detail.
· Proficient with Microsoft Office Suite or related software.
· Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
Education and Experience:
· Minimum of Associate degree preferred.
· One to three years of experience in human resources/administrative role preferred.
· Prior related medical office experience preferred.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
