We are looking for a Director of Operations to lead the daily functions of our practice and team, and to help bring Dr. Leland’s vision to life! You’ll operate autonomously, collaborating frequently with Dr. Leland, as the leader of all team members and systems within the practice. You’ll foster a team-oriented culture where we allow voices to be heard, ideas to be shared and significant contributions to be made from every member of our team.
Job Overview:
At Leland Orthodontics, we're looking for a Director of Operations who can keep our practice running like clockwork. This role involves the daily oversight of all front office functions, as well as collaboration with the Back Office Lead to ensure smooth operations of the clinical side of the practice. In addition, the Director of Operations will be responsible for Human Resources functions for all team members. The Director of Operations will help set practice goals, track progress towards goals, and respond as needed to ensure practice performance is optimized. We're seeking an experienced leader who is organized, efficient and is an excellent communicator. It's important to note that the salary for this position will vary based on the level of skills and experience you bring to the table.
Key Responsibilities:
- Efficiently manage the daily administrative operations of the office and provide clear expectations and goals.
- Monitor all operations and pivot as needed within the practice on a daily basis, to ensure optimized functioning.
- Oversee the clinical side of the practice. Collaborate with and instruct Back Office Lead, on a daily basis. Provide guidance and implement changes when needed.
- Collaborate with and provide instruction to Marketing Coordinator and Scheduling Coordinator to ensure their specific areas of the practice are functioning optimally. Provide guidance and implement changes when needed.
- Implement office procedures to enhance workflow and patient service. Create and make changes to current office procedures as needed.
- Address patient inquiries and concerns with empathy and professionalism.
- Collaborate with the orthodontic team to maintain a positive office atmosphere.
- Act as Human Resources Manager for all HR issues that arise in the practice.
- Run payroll and monthly bonus tracking.
- Manage team member accountability and collaboration.
- Oversee and manage third party consultants, external vendors and service providers.
- Oversee inventory control and practice profitability.
What You'll Do:
- Foster a welcoming and professional office environment.
- Manage and prioritize numerous tasks simultaneously using your organizational skills.
- Communicate clearly, directly and compassionately with patients and team members.
- Solve day-to-day problems that arise in the office setting.
- Collaborate with Dr. Leland on a daily basis. Provide updates on practice performance and offer recommendations to solve issues and keep the practice growing and operating optimally.
- Reduce Dr. Leland’s workload as much as possible on an ongoing basis to allow him to focus directly on patient care and practice growth.
- Serve as the liaison between Dr. Leland and the Leland Ortho Team.
- Support the front desk team with an organized and transparent leadership approach.
What We Offer:
- A salary of $90,000-$120,000 plus bonus, based on practice growth. Salary offered will be based on experience and training.

What You Need:
- As the leader, you will inspire team members and manage the office culture based on the mission, vision and values of Leland Orthodontics.
- History of successful team and office management, preferably in a dental, orthodontic or health care setting.
- Deliver excellent patient service and care and consistently look for ways to improve.
- Proven leadership skills for managing an office team.
- Manage and track the key performance indicators (KPIs) to achieve the practice goals.
- Ability to assess complex situations and pivot quickly and effectively.
- Ability to communicate clearly, directly and effectively (both written and verbal).
- Ability to effectively and respectfully resolve conflicts.
- Excellent customer service skills for handling patient interactions.
- Strong multitasking and organizational abilities.
- Be proficient in office management software and patient management systems.
- Ability to learn and utilize technology-computers, software, phone systems.
- Understanding of orthodontic billing and insurance procedures. Ensure compliance with payer and reimbursement policies.
- A high school diploma is required.
- Further education and/or degree in healthcare administration are a plus.
- Spanish speaking is a plus.
