Job Summary
The Office Support Lead is responsible for overseeing administrative functions and supporting various departments within the distribution center. This role ensures efficient operations by reconciling reports, processing claims, coordinating employee activities, and managing supplies. The Office Support Lead also supervises administrative support assistants, handles vendor issues, and facilitates communication between departments and subcontract partners.
WHAT YOU'LL DO:
- Reconciles reports and keeps records of employees' corrective actions for contractor.
- Orders designated supplies for PDC and VVM's.
- Assists with new employee onboarding (subs and LVI)- copies of ID for I-9
- Update Late Shipment and Exception Reports daily
- Processes workman comp claims.
- Works closely with all departments.- coordinate inbound appointments, outbound transportation (truck load carriers)
- Assist with Supply Discrepancy Report (respond and correct shipment mistakes and report to government)
- Coordinate Employee Activities for DC, member of fun team
- Payroll reconciliation, adjustment documents and submittal to contractor
- Single point of contact for PDC vendor issues AP, AR, etc.
- Aged Order Report
- Loads Carrier files into Oracle
- Submits invoices to Corp HQ. (eventually move away), keeps on file
- Coordinates meeting employee meetings with Subcontract Partners Leadership, open enrollment, etc.
- Supervises Administrative support assistants.
- Creates Bills of Lading and associated documents for outbound LTL and truckload shipments.
- Schedules inbound shipment appointments via telephone.
- Creates manual packing slips as required.
- Answers in coming telephone call for the distribution center.
- Maintains BOL
- Process overseas freight/parcels orders using VSM (Vendor Shipment Module).
- Other duties as assigned.
WHAT YOU BRING:
- Experience required in office management:
- Analytical, written and oral communication skills.
- Knowledge and experience with transportation desirable.
- Ability to analyze, identify problems and implement solutions.
- Ability to use and teach warehouse management system to subordinates.
- Ability to perform basic math skills to complete necessary reports.
- Experience with Microsoft Office Word, Excel, Outlook and PowerPoint, Oracle a plus
- Experience managing small team of co-workers.
- Typing required.
Ability to get a government ID- pass Galls and Gov. background check
