Job Title: Office Administrator – Property Management

Position Overview: We are seeking an experienced Office Administrator to join our team and oversee the administrative functions of our office. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently and have previous experience in a property management environment. The Office Administrator will play a crucial role in supporting our property management team and ensuring the smooth operation of daily activities.
Responsibilities:
- Administrative Support: Provide administrative support to the property management team, including but not limited to answering phone calls, responding to emails, and handling correspondence.
- Office Operations: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities to ensure a well-maintained and efficient work environment.
- Tenant Relations: Serve as a primary point of contact for tenant inquiries and concerns, addressing issues promptly and professionally to ensure tenant satisfaction.
- Lease Administration: Assist with lease administration tasks, including lease preparation, renewals, and lease terminations, ensuring all documentation is accurate and up-to-date.
- Accounts Receivable/Payable: Manage accounts receivable and payable processes, including invoicing tenants, processing rent payments, and reconciling accounts.
- Vendor Management: Coordinate with vendors and contractors for property maintenance and repairs, obtaining quotes, scheduling services, and ensuring work is completed satisfactorily.
- Record Keeping: Maintain accurate records and files, including tenant files, lease agreements, vendor contracts, and financial documents, in accordance with company policies and procedures.
- Assistance with Property Inspections: Assist with property inspections and walkthroughs as needed, documenting findings and coordinating any necessary follow-up actions.
- Team Support: Provide administrative support to the property management team as needed, assisting with special projects, presentations, and reports.
Qualifications:
- Bachelor's degree in business administration, real estate, or related field preferred.
- Proven experience in office management or administrative role, preferably in the property management industry.
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact professionally with tenants, vendors, and team members.
- Proficiency in Microsoft Office Suite and property management software.
- Knowledge of lease administration, accounts receivable/payable, and basic accounting principles.
- Attention to detail and accuracy in record keeping and documentation.
- Ability to work independently with minimal supervision and as part of a team.
