Position Overview: We are seeking a dedicated individual to join our locally owned roofing company as a Office Assistant. Your primary responsibilities will be answering incoming calls, setting up appointments via our CRM System, placing orders and other office tasks. As a crucial part of our team, you will play a pivotal role in maintaining our reputation for delivering top-notch roofing solutions and exceeding customer expectations.
Responsibilities:
- Stay up to date with what's happening with our clients in our CRM System.
- Keep our CRM system organized.
- Making phone calls to clients providing the best customer service.
- Handle inbound customer inquiries via phone or email.
- Actively listen to clients, demonstrate empathy, and offer appropriate solutions to their roofing-related concerns.
- Maintain office supplies inventory and place orders as needed
- Assist with various project coordination.
- Data entry as needed
Information Provision and Guidance:
- Possess a comprehensive understanding of our roofing services, products, and processes to provide accurate information to clients. (Training provided)
- Keep the jobs moving forward continuously.
Record Keeping and Documentation:
- Maintain detailed and accurate records of client interactions, inquiries, and service requests in our customer database.
- Collaborate with the team to identify recurring concerns or patterns, providing insights for process improvements.
Qualifications:
- High school diploma or equivalent; additional education or certification in a related field is a plus
- Excellent verbal communication skills, with the ability to convey information clearly and professionally.
- Strong interpersonal skills, demonstrating empathy, patience, and the ability to build rapport with diverse clients.
- Exceptional problem solving abilities, with a keen attention to detail and the capacity to handle challenging situations calmly.
- Proficient computer skills, including experience with CRM software, email, and basic data entry.
- Ability to multitask effectively in a fast-paced environment while maintaining a high level of accuracy and efficiency.
- Flexibility to adapt to changing priorities and work independently as well as part of a collaborative team.
