Job Summary:
Our Client Relations Specialist plays a crucial role in providing exceptional client services and ensuring smooth operations at Secrets Aesthetics and Wellness Center. This position involves building strong relationships with clients, addressing their needs and concerns, and ensuring they receive exceptional service throughout their experience.
Key Responsibilities:
1. Client Interaction:
· Greet and welcome clients in a friendly and professional manner, creating a positive first impression.
· Manage phone calls, emails, leads and other inquiries promptly and professionally.
· Accurately schedule appointments and manage the booking system efficiently.
2. Client Support:
· Address client questions and concerns, providing accurate information about services, products, and promotions.
· Assist clients in understanding their treatment options and making informed decisions.
· Follow up with client’s post-treatment to ensure satisfaction and address any issues.
3. Administrative Duties:
· Maintain accurate client records, including contact information, treatment history, and preferences in Aesthetics Pro.
· Process payments, handle billing inquiries, and manage any related administrative tasks.
· Ensure the reception area and treatment rooms are clean, organized, and welcoming, representing Secrets Aesthetics brand.
4. Sales and Promotion:
· Promote and recommend appropriate products and services to clients based on their needs and preferences.
· Inform clients about current promotions, discounts, and loyalty programs.
· Assist in achieving sales targets and contributing to the growth of the business.
5. Collaboration:
· Work closely with the team to ensure seamless processes and client experiences.
· Participate in team meetings and training sessions to stay informed about new treatments and services.
· Provide feedback and suggestions to improve client services and operational efficiency.
Qualifications:
· High school diploma or equivalent; additional education or certifications in customer service, or a related field is a plus.
· Previous experience in a client-facing role, preferably in a spa, medical spa, or wellness center.
· Ability to effectively communicate via messaging system
· Strong interpersonal and communication skills.
· Bilingual (English and Spanish)
· Excellent organizational, attention to detail and multitasking skills.
· Proficiency in using computer systems and booking software.
· A friendly, approachable, and professional demeanor.
· Ability to handle sensitive information with discretion and maintain client confidentiality.
