TITLE: Office Manager
REPORTS TO: Members
SUPERVISED BY: Members
SUMMARY: The Office Manager guides and manages a variety of general office functions, staff support, and administrative services. The Office Manager will be primarily responsible for supervision and hiring of staff, maintaining the office and equipment, engaging with vendors and suppliers, and keeping the Firm’s books and accounts. The position incorporates a variety of functions such as human resources, talent recruitment, marketing, and bookkeeping.
PREFERRED SKILLSET: confidentiality; management; human resources; accounting; planning and time management; proficient computer skills; and polished written and oral communication skills.
SUMMARY: This position will require the ability to keep and maintain business and financial records, make difficult judgment calls, exercise discretion, maintain confidentiality, and display a high level of tact and professionalism.
DUTIES:
1. Bookkeeping
a. Records all Firm transactions in QuickBooks Online.
b. Reconciles accounts at least monthly.
c. Produces financial statements at the request of Members.
d. Coordinates with accounting contractor to ensure financial information is recorded consistent with sound accounting principles and the Firm’s financial reporting obligations.
e. Coordinates payroll processing with outside payroll contractor
2. Human Resources
a. Leads and manages staff and facilitates problem solving.
b. Implements and maintains Firm policies and procedures.
c. Oversees hiring, onboarding, and training of new hires.
d. Approves and monitors use of paid time off by staff.
e. Monitors employee workload and efficiencies in order to maximize productivity.
3. General Office Management
a. Organizes office operations and procedures.
b. Coordinates marketing and networking.
c. Manages vendors and suppliers for the office.
d. Communicates with I.T. and telephone contractors for support and equipment.
4. Other duties as assigned.
SALARY: $60,000+

FIRM INFORMATION: PDKST is a full-service law firm located in downtown Midland, Michigan. The Firm employs eight attorneys and staff of eight other legal professionals. The Firm’s practice focuses on business law, real estate, civil litigation, family law, probate, and estate planning.
