SUMMARY OF POSITION:
The Events Assistant supports all events at both Quince, Cotogna, and Quince and Co.
This role will work directly with the events team to ensure that all events are executed to the requisite Quince & Co standards and that the restaurants private dining departments operate in accordance with their established budgetary goals.
Ideal candidates have experience with pre-event planning, event logistics and event execution. It is paramount that all candidates possess the ability to multi-task and prioritize effectively in a highly organized and efficient manner as well as interface with both high profile and high net worth individuals and organizations. Applicants should exhibit strong leadership qualities, a well-developed business acumen and a hospitable nature.
The scope and span of the position include but are not limited to the following:
Daily Updates + Weekly Event Reports:

Sends out Daily Updates & Delivery Report
-
Manage all calendar invites pertaining to event deliveries/arrivals, etc.
-
BEOs: Prepare materials for all weekly BEO meetings
-
Daily weather review – report when necessary
Maintainance of Kitchen BEOs:
-
Prints and disperse BEOs to Kitchen and Chef’s Clipboards
-
Prints and places BEOs to MDR pass when food is coming from there
-
Prints and places day/night of BEOs on TFK Clipboards
Event Director support:
-
Calendar management
-
Vendor and guest follow up
-
On and off property set-ups
-
Pre-event organization
Email communication:
- Reply to inquiries via phone & email
-
Pass along events that will go to contract to Event Director. Generally, after three exchanges with answering questions, Assistant should pass off event to Event Director
Tours:
-
Know how to give tours of spaces and set up tours as needed for Director team. Provide tours as needed.
Additional tasks:
-
Run weekly deposits for events, including saving in TripleSeat, updating payment in TripleSeat & emailing Accounting all necessary information
- Monitors all event calendars weekly, focusing on organization & accuracy

Menu Changes: Responsible for updating menus and TripleSeat & sales collateral
-
Create event packets, print necessary materials & helps event captains with all necessary documents
-
Maintain office organization & cleanliness
-
Maintains Share Drive shared Events folder with accurate, organized folders
-
Maintains Documents + Updated menus/wine list/cocktail list on TripleSeat.

Responsible for updating Event Marketing Materials & Dining Room Menus
-
Prints all menus, cocktail cards, signage & place cards for ALL Events with the support from the Events Manager

Updates BEO with event information
-
Reviews schedules to ensure staffing accuracy
-
Assists with completing tally and dietary sheets, and updating as necessary
-
Assists with Floorplans as necessary

OTHER REQUIREMENTS:

This role has a schedule of Tuesday-Saturday, 10am-7pm

Ability to traverse all parts of the restaurant quickly and safely

Must be able to comply with all health and safety standards

Food Handler’s Certificate
