Full-time opportunity for Administrative Assistant:
Job Duties:
The primary responsibility of the Administrative Assistant is to successfully assist in the daily and ongoing activities of the front desk. These activities include the following:
- Meet and greet patients, vendors, and guests at the front desk.
- Coordination of the day-to-day operations of both clinics: Manhattan, KS location and the Overland Park, KS location. Must be flexible as schedules frequently change.
- Promoting excellent customer service by all levels of the staff
- Phone duty: manage and prioritize incoming and outgoing calls; both patient and non-patient calls.
- Patient data input: capture accurate and detailed information; log all calls in IMS and Sharp Spring systems; Scan and organize documents in patient chart.
- Scheduling patient appointments: maximizing use of physician time for consultations and procedures; working toward company monthly goals of scheduled consultations and procedures; and advance reporting of scheduling conflicts. Maintain a calendar of physician time off and unavailable for consults and procedures.
- Payment collections: collection of procedure deposit money, payments for imaging orders and final payments for procedures.
- Ensures patient satisfaction, including troubleshooting when there is a complaint and help to develop process improvements to prevent recurrences.
- Pre-Procedural Preparation: Order physician prescriptions, x-rays, book hotel, mail/email paperwork, appointment reminders and verbal instructions.
- Create and maintain an environment where patients enjoy a top-rated OVERALL medical office experience.
- Assist the medical staff as necessary, room clean-up, patient assistance, etc.
- Be friendly, cheerful, helpful, and resourceful at all times.
- Mail, voice mail, e-mail: manage, sort, distribute, document and follow-up.
- Office and equipment maintenance: sort, file, organize, etc.
- Assists in developing, implementing, and maintaining office policies and procedures
- Maintain and manage all filing and organizational systems for the practice
- Maintain current knowledge on Stem Cell Therapy and PRP Therapy
- Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
- Special projects: trade shows, patient correspondence, staff activities, etc.
- Errands: as needed.
- Other duties as assigned.
Physical Requirements
- Speak, read, and write English.
- Mobile and must have a valid driver’s license.
- Maintain knowledge of KRMC, Konza Management, Federal, State and OSHA regulations required.
Educational Requirements
- High School graduate or equivalent
- Two-year associate's degree in a medical or office management field preferred, but not required.

- Computer skills required: Outlook E-mail, Microsoft Office, Excel, electronic medical record experience and data entry.
- Medical office experience preferred, but not required.
- Insurance billing and coding experience preferred, but not required.
Workdays and Hours
The Administrative Assistant works full-time Monday through Friday generally 8:00 am to 5:00 pm. Some exceptions may apply based on the daily patient schedule, which may result in a shorter or longer workday. The Administrative Assistant is required to remain at the work location until all patients have left the building. MUST be able to stay past 5:00 pm when needed. Over-time is the exception and must be prior approved by the immediate supervisor. See employee handbook for the detailed rules governing paid working hours.
Other Responsibilities:
Attend KRMC company events to support the goals of the organization. The Administrative Assistant broadly represents Kansas Regenerative Medicine Center throughout the community and should conduct oneself as an ambassador for the company.
