SUMMARY: Provides daily administrative support, bookkeeping, reporting, and organizational control. Manages Construction Field Manager and Project Manager through all construction processes from the beginning to end. Responsible for assisting with assigned projects in all stages of the construction process, from project planning and delivery, completion and managing the project budget against the actual costs.
DUTIES AND RESPONSIBILITIES:
- Overseeing, training, and motivating all project managers.
- Working directly with homeowners by keeping them informed on daily expectations and work
- Allocates resources to all project managers for all construction projects
- Works closely to go over plans and blueprints with construction field manager
- Makes all timetables for projects
- Determines material and labor costs
- Negotiates with and hires subcontractors
- Hires laborers and all construction office personnel progress
- Provide full administrative and office management expertise
- Provide full responsibility for assigned contracts and project documents
- Provide full responsibility for billing and collecting client payments
- Provide full responsibility for reviewing and approving vendor and subcontractor invoicing
- Provide full responsibility for vendor and trade contacts, permits, agreements, and terms
- Act as concierge and contact person for incoming phone calls, vendors and subcontractors, and prospects and clients
- Coordinate ordering, purchases, scheduling, deliveries, and returns and exchanges for projects
- Assists Controller and provides accounting responsibilities as assigned
- Provide primary professional responsibilities for CRM and related software applications
- Organize project manager and subcontractor schedules according to the needs of each job
- Provide other duties as assigned
- Work daily schedule and assigned promotions and special events
QUALIFICATIONS:
- 5-7 years experience managing multiple project managers in a face-paced environment
- 5-7 years experience in the construction industry (pool construction preferred)
- 4-5 years experience with reading blueprints/plans
- 3 years experience in office management
- EXCELLENT customer service abilities
- Critical thinking and problem solving skills
- Experience in construction project management is a plus!
- Knowledge of office management techniques and tools
- Proven experience in people management
- Proven experience in strategic planning
- Outstanding customer service
- Intermediate to advanced knowledge of Microsoft Office (Word, Excel & Outlook)
- Adept use of general office equipment (scanners, copiers, etc)
- Organizational skills
- Attention to detail is a must
- Reliable attendance and punctuality
