It is the responsibility of the Information Specialist to welcome callers, customers and visitors, greeting them professionally and warmly. As the first person many of our visitors and customers see or speak with, this position is responsible for making a positive impression, offering first line assistance as to office locations, services provided, and general City-related information. In addition to serving as the City?s welcome agent, this position is also responsible for managing the customer flow to various customer service departments and is also responsible for answering calls to the switchboard.
Greet customers in a friendly and professional manner.
Assist customers in finding their way around the offices.
Answer general questions for customers, such as services we offer, paperwork and other documentation we may need to complete their transactions with us.
Work closely with each customer service department, escorting walk-in customers to the correct destination and seeing that they are escorted out appropriately.
Answer telephone, screen, and direct calls appropriately. Ensure calls are answered and/or delivered as appropriate.
Maintain informational brochures and notices within the lobby; ensure area remains clean and tidy, including public restrooms. Secure lobby area at 5 p.m. each day.
Keep business cards and office supplies stocked; request replenishment or orders placed when items are getting low.
Oversee calendar and process orders for the hanging and removal of event banners.
Sort returned mail and attempt to redirect to correct address.
Scan and store electronic copies of paperwork and documentation received from customers. File paper copies for records maintenance at our warehouse
Record daily walk-in reports from customer visits, complete electronic report each week.
Maintain newspaper archives for City of Thomasville related articles.
Maintain a tidy equipment room, alerting the appropriate parties when equipment needs to be collected.
