For Incoming Production Activities, the RM will:
- Create tasking for the team for incoming case notes and action items
- Create tasking for the team for upcoming review and touch base scheduling
- Create tasking for the team for upcoming review preparation items
- Utilize advisor case notes to submit CRIA forms for applicable client accounts
- Update advisor appointments status based on submitted case notes
- Run weekly checks for appointment verification and completion
- Save and file case notes, action items and included documents
- Provide oversight of the Weekly Task Log with weekly updates and regular back ups
- Verify and maintain the data to provide production tracking for the advisors
- Provide weekly reporting on tasking and production for the Director of Operations and the advisors
For Investment Production Activities, the RM may:
- Prepare investment applications, handle account establishment, rollovers, funding and changes, and track and document progress to completion in a timely manner
- Accept/deposit client checks and complete check transmittals
- Provide support for client banking information and recurring or one time investment or withdrawal procedures
- Provide support for beneficiary additions or updates
- Provide support for Broker/Dealer changes
For Insurance Production Activities, the RM may:
- Prepare insurance product applications for life, disability and long-term care insurance types, handle policy establishment, premium updates, and track and document progress to completion in a timely manner
- Handle insurance reporting and activate policy care for overdue premiums, reinstatement, upcoming conversion periods, etc.
- Ensure client lab appointments are scheduled
- Work closely with business professionals such as health care practitioners, lab vendors and vendor insurance processors
- Handle policies for beneficiaries, powers of attorney, premium payment settings, ownership changes, address changes, loan processing and payments, etc.
- Assist the client through the claim process
- Add and maintain outside insurance policy information in the CRM
- Properly link incoming insurance business with the correct client in the CRM
As part of the position, the RM will:
- Utilize the CRM to sort, organize and prioritize assigned tasks with tags and filters
- Update the tasks in the CRM and in other required locations thoroughly and expediently as updates are available
- Interact with clients, professionals and support personnel through telephone, email, in-person and with approved texting (when available), as well as possibly through video conferencing, to answer questions and obtain information
- Be attentive to and meet or exceed compliance requirements for work completed and maintenance of client files, seeking assistance as necessary to ensure accurate work that is all ‘in good order’
- Work closely with our broker dealer, clearinghouse, trust administrators and product companies
- Work closely with business owners, executive suite leadership, boards of directors and plan administrators
- Work closely with business professionals such as accountants, attorneys, medical lab vendors, health care providers and trust administrators
Minimum Job Requirements for the RM are:
- A high school diploma or equivalent
- 3-5 years prior industry or professional experience
- Proficiency in English
- Excellent communication skills, both written and verbal
- Excellent computer skills and be comfortable with Microsoft Windows
- Strong proficiency in Word, Excel, Outlook, Teams, Adobe Document Pro
- Accurate typing skills and the ability to type simultaneously with both hands and all fingers
- The ability to utilize a desk phone, cell phone app and online phone system
- Excellent attention to detail
- The ability to work closely with different personalities
- A professional and well-groomed appearance
- A hospitable and welcoming demeanor and approach with fellow team members, professionals and clients
- Being highly organized across physical and electronic mediums
- Must be able to take direction and feedback well, and utilize it effectively

- Must earn the Series 7 and Series 66 designations or Life, Accident and Disability Insurance certification within 18 months of the effective date of employment
