Summary of the Role:
As a Front Window Dispatcher, you will be pivotal in coordinating and managing the dispatch of resources, vehicles, and personnel. Acting as the central communication hub between field units and the command center, you will ensure efficient operations and seamless communication. This role requires a highly organized and proactive individual with excellent communication skills and a keen eye for detail.
Key Responsibilities:
- Coordinate and push out daily routes.
- Prepare and send the morning report by 7 AM.
- Email the full day off-the-lot report by 7 AM to designated team members.
- Fill out roll-out details up until the PM shift.
- Professionally answer and manage incoming calls.
- Adjust operator names in Trapeze under the run tab for the day.
- Correct route errors and edit trips as needed.
- Complete and distribute the 11:30 AM report.
- Monitor Trapeze for dead head times to track operator productivity.
- Print and distribute prior day route productivity and on-time compliance reports (send to all managers); on Mondays, include reports from Friday, Saturday, and Sunday.
- Monitor sign-in sheets throughout the day.
- Scan and email all manifests to management daily.
- Continuously scan routes to schedule lunch breaks.
- Handle all accidents and incidents properly and promptly.
- Send timesheets to payroll daily.
- Ensure proper use of radio and 10-codes.
- Document all driver callouts, including early and late starts and finishes.
- Monitor drivers for proper uniform compliance.
- Assist drivers in locating destinations.
- Contact operators scheduled for overtime for the following day.
- Print manifests for the next day.
- Manage the cash mobility report.
- Make schedule changes as necessary to ensure on-time performance.
- Prepare on-time compliance reports at 8:00 PM and 11:00 PM.
- Complete the full day off-the-lot report by 5:00 PM.
Required Qualifications:
- High school diploma or equivalent.
- Excellent verbal and interpersonal skills.
- Strong problem-solving and analytical abilities.
- Outstanding customer service skills.
- Previous experience in dispatch, customer service, or scheduling.
- Professional phone demeanor.
- Ability to work independently.
- Excellent judgment, multitasking, and problem-solving abilities.
Preferred Qualifications:
- High school diploma or equivalent (Technical degree preferred).
- 3-5 years of relevant experience.
- Experience with Trapeze scheduling software is highly preferred.
- Proven ability to work independently and handle multiple tasks.
- Strong analytical and problem-solving skills.
- Excellent verbal and interpersonal communication skills.
- Outstanding customer service skills and phone demeanor.
