About the role
We are seeking a skilled and detail-oriented Payroll /Benefit Specialist to join our team. You will play a crucial role in ensuring accurate and timely payroll processing for our organization, supporting around 100 employees based in the United States. Your primary focus will be on maintaining compliance with state and federal tax regulations, while also leveraging your experience in HRIS systems, particularly UKG, to streamline payroll operation. You will work closely with and report to our HRM/HRIS Manager.
Payroll Responsibilities:
- Utilize your expertise in HRIS systems, particularly UKG (Ultimate Kronos Group), to effectively manage employee data, generate reports, and streamline payroll processes.
- Process payroll for our US employees on a semimonthly basis, ensuring accuracy and timeliness.
- Manage and maintain employee payroll records, including hours worked, deductions, and bonuses.
- Ensure compliance with federal, state, and local tax regulations by accurately calculating and submitting payroll taxes and deductions.
- Stay updated on changes in tax laws and regulations to ensure compliance and make necessary adjustments to payroll processes.
- Collaborate with the HR team to ensure accurate employee data, including new hires, terminations, promotions, and changes in employment status.
- Provide back-up support for international payroll and new hire coordination.
- Respond to employee inquiries regarding payroll, taxes, and deductions in a timely and professional manner, providing excellent customer service.
- Manage the preparation of payroll-related reports, such as earnings statements, tax filings, and year-end documentation.
- Maintain confidentiality and security of payroll information.
- Manage unemployment claims, employment verification and mortgage requests.
- Reconcile and analyze payroll accounts in NetSuite and record payroll entries when needed.
- Assist with other HRIS data entry duties as assigned.
US Benefit Responsibilities:.
- Prepare and file required government reports, such as Form 5500 and ACA filings.
- Conduct regular internal audits of benefits programs to ensure accuracy and compliance.
- Coordinate with external auditors to facilitate annual benefits audits including 401K and workers compensation audits.
- Identify and resolve discrepancies or non-compliance issues found during audits.
- Assist in the administration of health, dental, vision, life, disability, and retirement plans partnering with 3rd party broker.-Collaborate with benefits vendors and service providers to ensure plan compliance and effective service delivery.
- Manage benefits enrollment, changes, and terminations in accordance with company policies and legal requirements.
- Maintain accurate and up-to-date employee benefits records.- Educate employees about their benefits options and any changes due to regulatory updates.
- Develop and distribute benefits communication materials.

Requirements:
- Proven experience as a payroll specialist or similar role, preferably supporting approximately 100 employees.
- In-depth knowledge of payroll processes, tax regulations, and payroll accounting principles.
- Familiarity with HRIS systems, specifically UKG (Ultimate Kronos Group).
- Proficient in using payroll software and MS Office applications, especially Excel.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Strong communication skills, both verbal and written.
- Knowledge of state-specific payroll regulations and tax requirements are a plus.
- Experience in HR operations or HR generalist roles is desirable.
