The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in a law firm environment, performing administrative duties, and providing support to attorneys related to litigation.
Objectives of this role
- Support the Managing Partner primarily to ensure that company goals and objectives are accomplished and that operations run efficiently;
- Plan and orchestrate work to ensure that the Managing Partners’ priorities are met, organizational goals are achieved, and best practices are upheld.
Responsibilities
- Manage professional and personal scheduling for Managing Partner, including agendas, mail, email, phone calls, client management, and other firm logistics;
- Draft pleadings and letters, including cover letters, notices of appearance, substitution of counsel, proposed engagement letters and other form documents;
- File documents on eCourts Civil and CM/ECF. This is a fast-moving firm environment which does work in both New Jersey federal and state courts;
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives;
- Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database;
- Maintain professionalism and strict confidentiality with all materials.
Required skills and qualifications
- Five or more years of prior experience in a Senior Paralegal or Executive Assistant role;
- Excellent written and verbal communication skills;
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects;
- Proficiency with office productivity tools and an aptitude for learning new software and systems;
- Flexible team player, willing to adapt to changes and unafraid of challenges;
- Ability to maintain confidentiality of information related to the company and its employees.
Preferred skills and qualifications
- Experience in overseeing budgets and expenses;
- Prior experience in litigation;
- Experience in developing internal processes and filing systems.
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
