JOB DESCRIPTION
General Summary
Provides administrative and clerical support to professional staff. Provides administrative support for compliance services related to the preparation of plan documents, amendments, notices and other related forms to meet regulatory requirements. Operates under general supervision for routine administrative and clerical duties. Receives functional direction for tasks relating to compliance matters.
Principal Duties and Responsibilities (Essential Functions)
1. Drafts and submits plan documents, summary plan descriptions, amendments and notices for new and existing clients. Reviews and maps client’s prior plan document onto new plan document.
2. Posts completed documentation for sponsors and staff in client portal and electronic directory.
3. Tracks activities and milestone dates in workflow software for plan document projects. Updates client database information.
4. Prepares correspondence, mailings and copies. Scans paper records to electronic directories. Distributes incoming faxes to staff members.
5. Maintains supplies and coordinates maintenance and repairs for select office equipment.
6. Supports administrative team across the organization, as needed.
7. Provides input to supervisors on areas that effect own work.
Job Specifications
1. Knowledge of office management systems, equipment and procedures as may be obtained with a high school diploma or GED equivalent with specialized course work in general office practices and minimum 2 years’ experience in an administrative role in a professional services or similar organization.
2. Basic knowledge of pension plan regulations and plan documents as may be gained through specialized training or prior work assignments.
3. Ability to organize assignments, pay attention to detail and work on multiple tasks concurrently.
4. Ability to work individually and within a team. Ability to prioritize assignments to meet deadlines.
5. Ability to read, write and communicate verbally to internal staff and external guests in a manner that is understandable and courteous.
6. Knowledge of word processing and spreadsheet software and products, and internet as may be gained through experience and training.
7. Ability to learn and work with retirement plan related system platforms and software as may be gained through training, internships or prior work experience.
8. Understanding of DBZ policies, procedures, mission, goals, objectives and organization values as acquired through company handbook, written policies and on-the-job experience.
Working Conditions
Normal office conditions 100%. Sedentary for extended time periods while reading and working on a computer. This role routinely uses office equipment such as computers, phones and copy machines.
