We're seeking a versatile and experienced Office Manager/Admin who can bring organization, energy, and proactive problem-solving skills to our team.
As the Office Manager, you will be the central point of contact for our internal team and external clients. Your role will encompass a wide range of administrative tasks and is pivotal in maintaining the efficiency and organizational effectiveness of our company. You will be responsible for daily office operations, coordinating schedules, bookkeeping, inventory, and managing communication with clients and support staff.
- Address client inquiries and provide outstanding customer service by phone, email, or text.
- Reach out to clients regarding scheduling, payments, and service memberships.
- Coordinate schedules, meetings, client appointments, technician availability, and vendor demos.
- Embrace a versatile role, and adapt to the various tasks and responsibilities needed in a small team environment.
- Identify and resolve issues proactively, demonstrating creativity and initiative in problem-solving.
- Manage purchase orders, deliveries, and update inventory with precision.
- Ensure seamless communication between clients, support partners, and advanced technicians.
- Coordinate with technicians before and after service appointments regarding scheduling and billing.
- Oversee physical and digital marketing efforts, manage social networks, and maintain our website.
- Oversee the onboarding and offboarding processes, ensuring a smooth transition for employees.
- Comfortable taking on executive assistant duties as needed.
- Proficiency with Zendesk (or similar) ticketing system to manage client service requests.
- Experience using Slack and Google Workspace tools for communication and documentation.
- Basic knowledge of accounting principles to support the company's financial operations.
- Experience with QuickBooks Online for managing company finances, including invoicing, payroll, expenses, and financial reporting.
- Proven experience in office management, administrative roles, and customer service.
- Excellent organizational and task prioritization abilities.
- Strong communication skills, both written and verbal.
- Ability to work both independently and as part of a small team.
- Meticulous attention to detail and accuracy in all tasks.
Job Type: Full-time
Pay: $24.00 - $26.00 per hour
