Job Purpose:
We are seeking a detail-oriented and organized Part-Time Bid Capture Specialist to join our team. The ideal candidate will provide crucial support to our Business Development (BD) team, assist with Request for Proposals (RFPs), track metrics, and manage various administrative tasks related to business operations.
The Bid Capture Specialist is typically responsible for managing an opportunity from initial identification of a customer requirement through to contract renewal strategy. The Bid Capture Specialist is significantly involved pre-RFP, driving the Capture Phase and ensuring all resources are aligned to the client’s requirements long before the Bid and Pursuit Phase gets underway. Additionally, tracking the proposals through the submission process, and follow-up on pending awards.
Responsibilities include the introduction and implementation of all necessary bid procedures and processes. This is a highly networked role that requires an ability to work under pressure and to meet deadlines. It requires strong organizational skills.
Typical Tasks and Responsibilities:
- Support the Business Development (BD) team by assisting with BD activities and initiatives.
- Research and identify new business development opportunities, including potential clients, partnerships, and markets.
- Monitoring various bid portals and sources to identify relevant RFP/RFI opportunities.
- Manage all Bid Sites and Registrations, ensuring that all necessary documents and registrations are up to date, change passwords as needed, and monitor subscription renewals. If the site has not been productive, report to the team before renewal.
- Tracking and recording the outcomes of submitted proposals and maintaining a database of win/loss results.
- Gathering feedback on proposal submissions to improve future responses. This includes completing a Right to Know Form if required, then dispersing feedback to team members once received.
- Assist in the preparation and submission of Request for Proposals (RFPs), including gathering information, checking for addendums, setting up SharePoint folder structure, sending out calendar reminders for submission and pre-proposal meetings, creating new deals in HubSpot.
- Manage and update Weekly RFP Report to track progress and outcomes of RFP submissions.
- Track Consulting team Project Reports, ensuring accurate and timely reporting of project milestones and deliverables. Send out weekly report.
- Manage Weekly HubSpot Report, updating and maintaining data in our CRM system to ensure accurate records of client interactions and communications. Send out weekly report.
- Track convenience contracts, update spreadsheets, and send out monthly reports with updates and list of contracts renewing in the next 2 months. Reach out to PMs regarding renewals.
Required Education and Experience:
- Bachelor’s degree in business administration, Marketing, or related field (or equivalent experience).
- Previous experience in a business support role or administrative position preferred.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HubSpot.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Self-motivated and proactive with the ability to work independently and as part of a team.
- Flexibility to work part-time hours as needed.
