We are currently seeking a dedicated and professional Receptionist with prior property management experience to join our team.
Responsibilities:
- Serve as the primary point of contact for visitors and tenants, providing a friendly and professional welcome.
- Manage incoming calls, emails, and mail, directing them to the appropriate departments or individuals.
- Maintain the reception area, ensuring it is clean, organized, and welcoming.
- Coordinate with building management and maintenance staff to address tenant issues and concerns.
- Schedule and organize meetings, appointments, and conference room bookings.
- Assist in the preparation and distribution of property-related documents and notices.
- Maintain accurate and up-to-date records of tenant information and building activities.
- Support property managers in the day-to-day operations of commercial properties.
- Assist with tenant move-ins and move-outs, ensuring all paperwork and procedures are completed accurately.
- Conduct regular property inspections and report maintenance issues to the appropriate personnel.
- Coordinate with vendors and contractors for property maintenance and repair work.
- Manage lease agreements, renewals, and rent collection.
- Respond to tenant inquiries and resolve complaints in a timely and professional manner.
- Prepare financial reports and assist with budgeting and expense tracking.
Qualifications:
- High school diploma or equivalent; Associate Degree in Business Administration or related field preferred.
- Proven experience as a receptionist or in a similar role within property management.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and property management software (e.g., Yardi, AppFolio).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to handle sensitive information with discretion.
- Customer service-oriented with a focus on tenant satisfaction.
