The primary duties for this position include:
- Primarily responsible for the staffing of all client cases
- Ensures all client shifts are staffed to ascertain client health and safety
- Ensures staff are not scheduled into overtime status each week
- Answering of phone lines professionally; evaluate caller needs/direct to appropriate administrative staff
- Greet all guests professionally and directs them accordingly
- Maintain sign-in log at front desk
- Contacting, scheduling and conducting interviews for qualified candidates
- Support Human Resources Coordinator with attending job fairs and similar events to acquire qualified staff/educate on services of agency
- Support Human Resources Coordinator with completing reference checks after each interview
- Compose and complete client calendars each month for each client
- Send out completed calendars to applicable field staff no later than 15th of each month for the following month
- Update client calendars with changes related to fill-ins, coverage changes, etc. at time of occurrence
- Maintain client calendars at all times to ensure easy readability and comprehension by Quality Assurance Specialists, Program Director, Clinical Director, Administrator and CEO
- Provide client calendar for each new hire upon completion of orientation
- Ensure new hire signature on calendar provided upon completion of orientation
- Oversee new hire registration for fingerprinting at time of orientation
- Meet daily with Human Resources Coordinator to discuss openings necessary for job postings and staffing needs
- Provide Open Shift document to any staff not actively working requiring them to accept or decline listed cases
- Ensure Quality Assurance Specialists complete case orientation form with staff for any shift assigned
- Ensure copies of agency forms are managed, stocked and clear/legible copies
- Document shift and case offering via email
- Print and file proof of shift offering in the employee file
- File any employee documents received after verifying authenticity and entering into database – file in secured and locked file room, maintaining confidentiality at all times
- Review employee timesheets for accuracy and report onto payroll spreadsheet
- Facilitate employee education on administrative policies/expectation as needed
- File employee timesheets into the designated payperiod folder
- Enter weekly payroll data into the spreadsheet based upon notes received
- Disburse biweekly paychecks to staff; ensuring corresponding sign-off sheet is completed
- Compose and submit written and electronic correspondence to staff members
- Perform and maintain daily office organization as needed
- Identify office supplies needed and report to Administrator
- Identify employee of the month with Human Resources Coordinator
- Support with audit employee files on a weekly basis updating employee database
- Support Human Resources Coordinator with completing and facilitating annual evaluations as requested
- Maintain with Human Resources Coordinator, spreadsheet database consisting of each employee and mandatory employee file documentation dates and outstanding information for weekly auditing purposes
- Schedule monthly training for employees (TOVA, first aid/cpr, human rights, DSP trainings, staff meetings)
- Purge and discharge employee files, filing them into the correct location as instructed
- Perform weekly on-call rotation as instructed
- Attend/organize company events and training programs
- Attend/organize community activities
- Other duties as assigned

Pay: $15.00 - $20.00 per hour
