Job Summary:
The Volunteer Engagement Coordinator (VEC) is primarily responsible for coordinating the day-to-day administration of the Volunteer Programs, including communicating with, scheduling, supporting, and helping retain and grow our corps of more than 100 active volunteers. The VEC will also assist in maintaining digital volunteer management and sign-up systems. Responsibilities also include, but are not limited to, providing on-site hospitality for volunteers, engaging new and diverse volunteers and assisting in the development of new and ongoing volunteer appreciation events.
Responsibilities:
- Conduct professional, thoughtful, and engaging communications (phone, email) with prospective and current volunteers, including answering questions, initiating the onboarding process, and following up with volunteers who have lapsed
- Support the Manager of Community Resources in planning and conducting regular Prospective Volunteer Information Sessions
- Ensure adequate volunteer coverage through scheduling shift reminders and requesting additional coverage on light days.
- Performing volunteer roles related to guest services (i.e. kitchen, clothing closet, laundry) as needed.
- Respond to new volunteer inquiries in a timely manner
- Maintain Bloomerang database (reviewing applications, shift scheduling, hours tracking, qualifications tracking, monthly reporting) and other volunteer records, such as background checks and food handler’s cards
- Produce and update weekly volunteer schedules
- Collect content and write Weekly Update emails to volunteers
- Coordinate new volunteer’s first shift and shadow session(s)
- Provide technical support to volunteers as needed with online system and develop tutorials
- Maintain Supper Club calendar, send confirmations and reminders to upcoming groups
- Assist with volunteer appreciation activities and events
- Coordinate Educational Visits (aka tours) to the facility, including scheduling, sending participant reminders, scheduling volunteer guides
- Occasionally assist the Manager of Community Resources at community events related to volunteer recruitment
- Performs other duties as assigned
Qualifications
- Demonstrate Sister José Women's Center’s values at all times.
- Maintain a high level of confidentiality and discretion in regard to the guests we serve
- Excellent communication skills both verbally and written
- Bi-lingual preferred but not required
- Tech-savvy and a desire to learn new digital systems, troubleshoot, and teach others.
- Ability to convey a positive and professional image to employees, volunteers, and donors
- Ability to develop and maintain effective working relationships with all individuals.
- Cleared background check from appropriate entity.
- Cleared illicit/illegal drug test results
Other Requirements
Must be able to obtain Sexual Abuse Prevention Certifications and First Aid Certification (CPR), provided by Sister José Women’s Center. Primary functions require sufficient physical ability and mobility to walk, stand, and sit for prolonged periods of time; to frequently stoop, bend, kneel, crouch, reach, and grasp; to lift, carry, push, and/or pull moderate to heavy amounts of weight 20 or more pounds on a frequent basis.
