Job Summary:
We are seeking a highly motivated and experienced Customer Service/Logistics Manager to oversee the customer service, order procurement and fulfillment, and delivery processes for our business. This critical role is responsible for ensuring customer satisfaction and driving operational efficiency across multiple channels. The ideal candidate will have a deep understanding of warehouse management systems, inventory management, order procurement and fulfillment processes, and delivery coordination processes.
Duties:
- Develop and maintain relationships with customers; coordinate with Office Administrator to onboard, maintain, and offboard customers, as approved and necessary.
- Receive and resolve customer telephone and email (preferred) inquiries (requests for quotes, purchase order placements, order status updates, etc.) completely, timely, and accurately.
o Prepare customer quotes for review and deliver reviewed and approved quotes to customers. Store quotes in our document management software, ShareFile.
o Verify accuracy of customer purchase orders against prepared quotes and/or internal data and process correct purchase orders in our process management software, Palmate. Resolve purchase order inaccuracies with customers. Store correct purchase orders in ShareFile.
o Assist management with periodic pricing updates, as directed.
- Utilize Palmate and Slack (our internal instant messaging software) to track inventory levels, identify the need to procure raw materials, monitor raw materials orders statuses, and monitor customer orders statuses to ensure seamless order fulfillment.
o Coordinate with the production management team to identify necessary raw materials orders.
o Prepare raw materials purchase orders in Palmate for review and approval.
o Place approved purchase orders with approved vendors.
o Monitor the status of placed purchase orders to ensure timely delivery; communicate with the production team accordingly.
- Develop and maintain relationships with raw materials vendors; coordinate with Office Administrator to onboard, maintain, and offboard vendors, as approved and necessary.
- Utilize Palmate and Slack to identify customer orders that are ready for delivery, coordinate delivery, and ensure seamless and timely delivery.
o Assign daily drivers runs.
o Print bills of lading (BOL) and share with assigned daily drivers.
o Monitor the status of each order out for delivery and resolve any issues.
o Collect and upload the signed BOLs to Slack to kick off the invoicing process.
- Develop and maintain relationships with third party carriers; coordinate with Office Administrator to onboard, maintain, and offboard vendors, as approved and necessary
- Develop and implement process improvements to enhance customer satisfaction, reduce order fulfillment times, and increase operational efficiency.
- Collaborate with the warehouse team to optimize inventory management and order picking processes.
- Analyze customer feedback and sales data to identify areas for improvement and implement changes accordingly.
- Manage the day-to-day operations of customer service, order procurement and fulfillment, including scheduling, and delivery.
Qualifications:
- Proven experience in customer service, order procurement, order fulfillment, scheduling, and /or delivery coordination roles.
- Strong understanding of warehouse management systems and inventory management processes.
- Familiarity with forklift and warehouse environment and safety procedures.
- Ability to analyze data and implement process improvements.
- Excellent communication and problem-solving skills.
- Strong leadership and team management skills.
- Experience with warehouse management systems.
- Knowledge of price optimization and inventory control.
- Experience with order picking and inventory management software.
Job Type: Full-time
Pay: $17.35 - $25.29 per hour
Expected hours: 35 – 45 per week
