Padagis is looking for a bright, energetic, and professional individual to join our team as our Office Coordinator. In this role, you are the gateway to Padagis and create the 1st impressions for our customers, both internal and external. You’ll work well with little supervision and will need excellent judgment skills.
This position is responsible for a wide variety of duties and supports multiple stakeholders. You’ll perform clerical duties such as document processing, record keeping, and report compilation requiring independent analysis and detailed knowledge of procedures. Additionally, you’ll be responsible for office maintenance, data entry, inventory management and much more!
This position reports to the Senior Vice President, Commercial and supports the US Commercial Team as well as the employees on-site at our Allegan, MI location.
Please note: This opportunity is full-time, 32 hours per week, Monday through Thursday on-site in Allegan.
Job duties:
- Maintain a clean and welcoming office in community spaces such as kitchens, lobby area, conference rooms, etc. Ensure that the office pulse and décor create a comfortable and “great place to work” environment.
- Maintain office supply inventory and office vendor relationships; to include office, kitchen supplies, vending machines, janitorial supplies, etc.
- Receive, classify, reconcile, interpret, consolidate, and/or summarize documents and information, sort and deliver incoming US Mail and other packages.
- Organize and order meals for in house training, various meetings, and company gatherings.
- Assist Senior Management with administrative tasks, including calendar management, scheduling travel and expense reporting.
- Creating and managing purchase orders and other items in SAP.
- Maintain records and balance information for control purposes. Create, organize, and maintain spreadsheets for ensuring that personnel have what they need and when, alert when materials are needed.
- Assist HR in new hire checklist and prepare the office and working materials for their arrival.
- Compile complex reports, drawing data from a variety of sources within and outside of the department. Prepare special reports and analyses within prescribed guidelines.
- Regularly contact customers, suppliers, or organization employees outside the immediate work area to exchange information.
- Troubleshoot problems as they arise with the office equipment (copies, printers, fax machines), order supplies and schedule maintenance when needed. Maintain relations with office machine vendors.
Required Qualifications:
- High school diploma or vocational qualification
- Four or more (4+) years of relevant experience
- Demonstrated strong multi-tasking skills, good judgement, and strong decision-making skills
Preferred Qualifications:
- Projects a positive, professional image with superior customer service skills
- The ability to effectively interact with all levels within the company
- Exceptional organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in MS Office Suite, Outlook, etc
- Experience in using SAP
- Experience planning, coordinating, and organizing large events
