Millbrook School seeks a friendly, welcoming and organized Receptionist / Administrative Assistant to join our admission team. The ideal candidate will have an outgoing and friendly disposition, attention to detail, and strong database skills. The candidate must be ready to greet visitors on a daily basis, stay organized, be able to learn new technology, while collaborate effectively in a team setting. Daily responsibilities include welcoming all visitors, assisting with daily data entry, assisting with the admission office general email account, answering school phone lines, managing the admission reception space and office supply inventory, and supporting the admission team in all daily activity.
The Receptionist/ Administrative Assistant will be a non-exempt full-time employee. This position requires some Saturday hours from 8 am-12 pm from late September through the end of April and one Saturday in May (roughly 20 as scheduled by the School). The employee’s 35 hours per week will include the 4 hours on the specified Saturdays in exchange for 4 hours off during the work week (specific days must be approved by supervisor). Some flexibility over school holidays and summers (June through end of August) is available with approval of the Director of Admission.
The salary range for this position is $21.00-$24.00 per hour. When determining placement in the salary range, Millbrook School considers education, professional experience and other factors permitted by law.
Ideal candidates will have an associates degree, two years of administrative experience, a pleasant disposition, and excellent customer service and interpersonal skills. Experience with Microsoft Office, Google Docs, Zoom and education management software preferred.

Job Responsibilities & Duties
- Liaising with families through the application process
- Greeting all visitors to the building at the front desk and pairing tour guides with prospective families.
- Acting as the primary point of contact for Millbrook School's main phone line, and efficiently directing calls to appropriate staff members throughout the campus.
- Assisting with management of the admissions email account during busy periods
- Managing admission mailings including, but not limited to: daily office mail, viewbooks, event mailings, education partners holiday mailing, admission decision mailing, etc.
- Database Management
- Processing admission inquiries and mailing viewbooks, daily
- Booking interview appointments with prospective families through phone or email
- Assist in processing applications and updating contact and demographic information in the database
- Working with the Database Manager in processing admission decision mailings, enrollment and compiling reports as requested by the admission team.
- Office Management
- Managing office supplies including, but not limited to: coffee, tea, snacks, printer paper, stationery, mailing supplies, promotional giveaways, etc.
- Tracking quantity and status of printed publications for the Director of Admission and Communications Office
- Working with IT to manage printers and office technology.
- Working with campus maintenance to ensure the building is cleaned nightly and presentable for guests each morning & arriving before the first scheduled visitors to ensure the office is clean & presentable).
- Supporting daily admission activities
- Assisting the Director of Admission in organizing dates, attendance, and registration for admission travel, specifically fairs and conferences.
- Supporting the admission team with on and off campus events including, registration and promotion.
