JOB TITLE: Administrative Assistant/Main Office
JOB SUMMARY: Under the direction of the Principal or his designee, performs a
variety of daily routine and detailed secretarial tasks. Maintains student attendance and
coordinates student transportation and records.
ESSENTIAL TASKS OF THE POSITION:
Obtains and relays information from visitors on their needs
Schedules appointments, meetings, and conferences
Prepares letters and reports in conformance with given principals of style
Performs various secretarial tasks, including the operation of various business
machines and record-keeping
Conforms to safety standards as prescribed
Provide clerical and standard secretarial support for the CEO; perform
administrative support duties and work independently, and makes appropriate
decisions based on experience.
Maintains daily student attendance for all grades.
Notifies the parents of student absences daily.
Maintains a phone log of all phone calls to parents and relative to student
attendance.
Maintains student attendance in the school database as well as the state
registers working together with the Discipline Coordinator.
Notifies the appropriate personnel in each sending district of the student in
attendance at the charter school upon the student entry to the school in order to
secure student transportation if they are eligible.
Assists in the student application process with filing and completing paperwork.
Provides each sending district with a copy of the school calendar and notifies
them on a timely basis of any changes to the calendar.
Follows up with the bus company and sending district personnel of any problems
with the busing process.
Monitors all incoming and outgoing fax transmissions and places a copy in the
appropriate log.
Faxes/Mails student records and releases to appropriate places.
Apply judgment and knowledge of the operations of the school to resolve
problems and make work process decisions; refer matters requiring policy
interpretation to supervisor for resolution.
Develop and implement organized filing systems.
Helps admin with scheduling, and student registration as well as other
administrative duties as assigned.
Type a variety of materials including inter-office communications, applications
requisitions, forms, letters, special projects, legal documents, and other materials;
Establish and maintain the project and confidential files.
Makes announcements about school closures in inclement weather.
Develops Public relations with the required agencies and media organizations.
Performs any other functions as determined by the CEO.
Possess basic computer skills and knowledge of word processing programs.
Printing and photocopying documents of all kinds
Using MS Office Software such as Word, PowerPoint, Excel, etc.
Is familiar with publishing software such as Adobe
Is familiar with preparing flyers, brochures, and posters
Demonstrates familiarity with basic office equipment such as multi-line phones,
fax machines, and scanners.
Troubleshooting minor problems related to computers.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of secretarial practices, office machines, and record-keeping
Possess basic computer skills and knowledge of word processing programs.
Printing and photocopying documents of all kinds
Using MS Office Software such as Word, PowerPoint, Excel, etc.
Is familiar with publishing software such as Adobe
Is familiar with preparing flyers, brochures, and posters

QUALIFICATIONS:
TRAINING AND EXPERIENCE:
High School Diploma and secretarial experience.
Verified keyboarding of 40 words per minute net.
Specific documented evidence of training and experience to satisfy
qualifications.
OTHER REQUIREMENTS:
Background check required- PA Child Abuse, PA Criminal background check, and FBI Clearance
Screening for Tuberculosis (TB) required.
TERM OF EMPLOYMENT:
12-month year. Salary will be commensurate with experience.
