Primary Function:
Assures the smooth and efficient operation of the assigned office in a friendly and professional manner. Receives the public, operates the telephone system, and serves as a key communicator and coordinator relating to essential operation of the office. Performs other clerical duties as needed.
Requirements:
Educational Level: High School Diploma or equivalent. Formal training in office practices and experience preferred.
Proficiency Skills: Written and oral communication skills, ability to operate office machinery and deal with multiple tasks, computer competence, typing and proof reading skills.
Personal Skills: Pleasant personality, cooperative attitude, physical skills and stamina to perform essential duties.
Salary: CCSS Classified Salary Schedule – A11 (start pay $14.15-max pay $23.36). Steps are awarded with verifiable clerical experience. 240 work days. Yearly salary is determined by multiplying the hourly pay rate times the number of work days. That total then is divided by 12 months for a monthly gross salary. This position earns 12 sick, 3 personal, and 10 vacation days, and 12 paid holidays.
GENERAL

Receptionist
Answers switchboard, directs calls and provides information to individuals.
Manages and oversees the maintenance of the phone system, including assigning and recording greeting messages, adding and deleting users, repairs, etc.
Arranges for mail/package pick up and dissemination daily and periodically during the holidays.
Directs callers and visitors to the appropriate personnel and provides general information when requested.
Payroll
Serves as liaison to the central office in the handling of insurance matters, workers compensation claims, etc.
Assists in maintaining daily attendance logs for teachers, substitutes and other school employees as directed by the principal.
Maintains the skills to keep payroll records as required by the central office, including leave forms and teacher attendance book, calls subs.
Updates and manages substitutes and substitute list.
Bookkeeper
Maintains an automated Activity Accounting System and provides information regarding accounts as requested.
Maintains bank accounts, including monthly balancing.
Submits audit reports to the central office in a timely manner.
Prepares and processes purchase orders and work orders as needed.
Student Information Operator
Maintains accurate and up-to-date data in the student information system according to state and local criteria.
Creates and prints appropriate attendance, grade, discipline, counseling and scheduling reports as needed.
Demonstrates appropriate verbal, written and telephone communication skills.
Assists with the development, implementation and revision of reports, forms, materials and procedures as related to job responsibilities.
Maintains and submits reporting data according to state requirements in a timely manner.
Establishes procedures and timelines for inputting data, scheduling, reporting end-of year maintenance, calendar functions, system backups and other activities as needed.
Trains and keeps computer system backup personnel informed of any program updates, procedures, persistent programs and/or anomalies in the system.
Creates and prints appropriate attendance, grade, discipline, counseling and scheduling reports as needed.
Maintains accurate and up-to-date data in the student information system according to state and local criteria.

Other
Files and keeps appropriate records for area of responsibility.
Maintains and dispenses medications for students with signed authorization on file.
Maintains other office machines. Provides for supplies, maintenance, and use.
Performs all other duties and responsibilities as assigned by the supervisor.
